You’ll coordinate technician schedules, prioritize service requests, and serve as the main point of contact for customer inquiries—all while keeping efficiency and customer satisfaction top of mind. Essential Duties & Responsibilities Dispatch HVAC Service Technicians

  • Assign technicians to planned maintenance and emergency service calls efficiently. Customer Service Management
  • Act as the primary contact for incoming service requests, prioritizing urgent needs and ensuring timely resolution. Scheduling & Coordination
  • Develop and adjust technician schedules to maximize productivity while considering availability, skill sets, and workload distribution. Real-Time Communication
  • Provide customers with updates regarding technician arrival times, job progress, and any necessary rescheduling. Work Progress Monitoring
  • Track ongoing service calls, ensuring quality and efficiency throughout the process, and escalate issues as needed. Technician Support
  • Work closely with field personnel to ensure they have all necessary tools, parts, and job details before arriving at a location. Service Report Auditing
  • Review completed service reports weekly for accuracy and compliance with company procedures. Problem-Solving & Decision-Making
  • Assess urgent service needs and allocate resources effectively to minimize downtime. Operational Collaboration
  • Partner with the Service Manager to improve dispatch strategies, customer service experience, and operational performance. Geographic Coordination
  • Maintain familiarity with service areas and local geography to optimize technician routing and response times. Emergency Response Handling
  • Manage after-hours dispatching when needed, ensuring customers receive prompt service. Documentation & Reporting
  • Maintain detailed records of service requests, technician assignments, and customer interactions for reporting and continuous improvement. Special Projects Support
  • Assist in company-wide initiatives and operational enhancements as assigned by leadership.
Qualifications & Skills Education:

High School Diploma or GED required

Experience:

Minimum 3 years of dispatching experience, preferably in HVAC, electrical, or mechanical services

Technical Knowledge:

Strong mechanical aptitude to anticipate troubleshooting steps

Communication Skills:

Professional phone and email interaction with customers and internal teams

Organization & Multitasking:

Ability to manage multiple priorities in high-pressure situations

Tech Savvy:

Proficiency in

Microsoft Word, Excel, and Outlook Geographical Awareness:

Familiarity with local geography and map-reading skills

Decision-Making:

Ability to exercise discretion and sound judgment

Availability:

Willingness to assist with after-hours dispatching as needed

Travel:
