Service Dispatcher 4.0 4.0 out of 5 stars 2205 South Prigmor Avenue, Joplin, MO 64804 Summary The Service Dispatcher is responsible for demonstrating professionalism, integrity and positively influencing company morale. Creating and maintaining healthy relationships with customers. The position involves receiving phone calls and emails from customers requesting service, opening work orders in our business system, and conveying the dispatch details to our field service technicians through our business system, reviewing timecards, working with service writer to be aware of approved quotations and dispatching those with the appropriate sense of urgency. The position also includes coordinating and dispatching warranty work and preparing claims for our suppliers. Other general service department duties as directed by the Service Manager. Essential Functions-Kaizen (continuous improvement of process and reduce waste) Administrative – Maintain department communication to complete work efficiently, reduce lost time and grow labor sales. Utilize Softbase business system for opening invoices, tracking the status of paperwork and dispatching calls. Plan work schedule. Maintain a clean, orderly, and safe work area and appearance. Service – Review work order stories from technicians daily to minimize aged work-in-process and keep the invoice process flowing. Approve invoices for final processing daily. Strive for a two-day turnaround from completed work to invoice delivered. Manage -Receive customer service calls and dispatch field technicians (utilizing the Softbase Dispatch). Provide technicians with history of repairs, warranty coverage status, and customer contact information as part of the dispatch. Determine labor needed in preparation for work loads and plan the work schedule. Help technicians plan and be prepared to complete jobs, ensuring Service Department is productive. Warranty Processing – Utilize our business system for tracking hours and dates of new equipment warranty coverage and

program. Communicate with technicians when warranty coverage is still in place, ensuring appropriate pictures are taken and that parts replaced are tagged and stored in the warranty parts cabinet, and that a detailed explanation of the repairs is listed on the warranty claim. Coordinate through the parts department the return of shipping warranty parts back to factories in a timely manner, and follow-up on any requests for additional information that would help successfully recover warranty coverage of our costs. Other Functions Heighten visibility to customer issues needing attention Assist Service Administrator and back up when needed Assist with other duties (i.e., occasionally taking rental calls) Ensure that technicians are communicating arrival/departure at customer locations, completing detailed descriptions of work performed, and turning in all paperwork including timecards in as required. Manage PM scheduling and completion percentage including T360+. Interpersonal skills necessary to communicate and follow instructions effectively and to provide information to customers, coworkers and other departments with standard business courtesy and tact. Communicate and maintain special requirements associated with servicing customer accounts Track maintenance on company vehicles Customer satisfaction follow-up calls and emails Knowledge/Skills/Abilities Knowledge and understanding of invoice components (ex: Bill To, Ship To, Sale Price, Sales Tax) Strong focus on customer service and communication Strong knowledge of Microsoft Office and Internet. Basic knowledge of office machines, including copier, fax, and printer. Able to communicate effectively as appropriate for the needs of customers or coworkers. Able to process work with accuracy and strong attention to detail and follow-up (use of Microsoft Tasks) Able to create and work effectively in a team environment and independently. Able to complete required documentation and reports in a timely manner to meet deadlines. Able to perform multiple tasks simultaneously, organize and prioritize numerous tasks Demonstrates openness to new procedures, technology, and implementation. Full time M-F from 7:30-4:30 Job description is subject to change based on the ever-changing business environment. Physical Requirements and Work Schedule Able to do occasional lifting of up to 25 lbs. Employee must be able to stand, bend or crouch as required. Employee is subject to outside environmental conditions occasionally, inside conditions frequently, with protection from weather conditions but not necessarily from temperature change. Employee must maintain valid driver’s license and be able meet the requirements of the Company vehicle insurance carrier. Education/Work Experience High school diploma or GED required. Two-year certificate from a college or technical school or at least five years related experience and/or training in the subordinate position.
