Office Admin/Dispatcher – HVAC Company –
Gautier, MS Key Responsibilities:
Duties:
Schedule and dispatch HVAC technicians to service calls, maintenance appointments, and installations. Monitor technician availability and location using GPS and software tools. Communicate job details and customer concerns to technicians. Adjust schedules throughout the day based on emergencies, cancellations, or delays. Coordinate parts delivery or pickup as needed.
Administrative Duties:
Answer incoming calls and respond to customer inquiries in a professional and friendly manner. Create and maintain accurate customer records, service histories, and job files. Process work orders, invoices, and payments. Assist by tracking technician hours and job completions. Order office and job-related supplies as needed. Assist management with reports, scheduling, and other administrative tasks.
Qualifications:
High school diploma or equivalent; Associate’s or Bachelor’s degree preferred. Prior experience in an HVAC, plumbing, or service-based industry preferred. Familiarity with dispatch software (e.g., ServiceTitan, Housecall Pro, FieldEdge, etc.) is a plus. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Strong multitasking and organizational skills. Excellent phone etiquette and interpersonal communication. Ability to remain calm under pressure and prioritize urgent tasks.
Work Schedule:
Monday to Friday, 8-5:30pm (possibility to work later some evenings once peak season arrives – 7:30pm)
