ESSENTIAL JOB FUNCTIONS
Perform lead dispatch duties for external customers in the Cape Fear Transport division, as well as for internal customers minuteman food stores and bulk plant operations. Receiving calls from drivers, addressing any loading, or unloading problems and providing solutions. Monitor driver’s routes and status to ensure delivery windows are met. Preparing daily work schedules and routes for next day orders. Report any allocation or terminal errors/issues to the customer and Ops Manager. Monitor the dispatch phone and fuel order e-mail inbox for incoming calls, text, and e-mail customer orders. Enter and dispatch all fuel orders through the companies dispatch system: o Same Day orders o Inventory management Maintain good working relationships with drivers. Successful management of inventory sites within company dispatch software. Responsible for inputting new site information into company dispatch software. Monitor drivers to ensure that loads are lifted correctly. Report any faults or mistakes to Ops Manager. Daily self-tracking of dispatch metrics and weekly reporting to the company Director. Key Performance Indicators Number of negative issues occurring during daily dispatch activities Each day this person has dispatch coverage, we will track the following. o Any runouts from inventory managed locations caused by improper dispatching o Inefficient and truck dead head o Any incorrect sources, gallons, or product given to drivers that causes a billback from customer o The goal is to have zero negative issues caused by improper dispatching o Each week a summary report of any issues will be created by the Transport Director Loads unable to be booked We do not ever want to turn down profitable loads due to inability to cover the load in the window prescribed by the customer. To ensure we never have to turn down loads we will do the following o Monitor the dispatchers ability to multitask and shuffle responsibilities and loads to take more loads without causing a negative issue o Driver communication o Review the communication process between the dispatcher and customer to make sure that we have explored all possible acceptable receiving times o Each week a summary report of any loads lost because of inability to the cover
