Job Summary:
We are seeking a highly organized anddetail-oriented Scheduling Dispatcher to manage the scheduling andcoordination of installations and service requests. The idealcandidate will play a key role in ensuring the efficientdispatching of technicians, tracking project progress, andmaintaining clear communication with both customers and internalteams. Attention to detail and proficiency in Microsoft Excel areessential in this role, as the dispatcher will be responsible formaintaining accurate records, schedules, and reports.
KeyResponsibilities:
Scheduling and Dispatching:
Coordinate thescheduling of installation and service appointments for multipleprojects. Assign and dispatch technicians based on project needs,location, and crew availability. Prioritize urgent or high-priorityservice calls to ensure timely resolution.
Communication &Coordination:
Maintain clear communication with technicians andcustomers to ensure seamless operations. Confirm appointments withcustomers and inform them of any changes or delays. Providecustomers with estimated arrival times and any other necessaryinformation regarding services.
Tracking & Documentation:
Monitorand track the status of ongoing projects, ensuring that crews areon schedule. Update internal systems with accurate and timelyinformation about job status, completion, and issues. Maintain andfile all relevant documentation for project timelines, dispatchschedules, and service requests.
Problem Solving:
Resolve anyscheduling conflicts, delays, or logistical issues that may arise.
Proactively address and manage customer concerns or complaints toensure satisfaction.
Reporting & Analytics:
Provide regular reportsto management on job status, crew performance, and other relevantmetrics. Assist in tracking and monitoring inventory levels andequipment. Utilize Microsoft Excel to create, update, and maintaindetailed spreadsheets related to project scheduling, teamassignments, and performance tracking.
Required Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degreein construction management or related field is a plus). Provenexperience in dispatching, construction, or a related field(preferred). Strong organizational skills and ability to managemultiple tasks simultaneously with high attention to detail.
Proficiency in Microsoft Excel is a must, including creating andmaintaining complex spreadsheets, tracking data, and generatingreports. Excellent communication skills, both written and verbal.
Ability to work in a fast-paced, high-pressure environment whilemaintaining a customer-focused approach. Strong problem-solvingabilities and quick decision-making skills.
