Top Choice Plumbing is seeking a highly organized, efficient, and customer-oriented Administrative Dispatcher to join our growing team in North Charleston, SC. The ideal candidate will be responsible for managing technician schedules, dispatching service calls, and providing administrative support to ensure smooth, efficient operations. Key Responsibilities:
Dispatching & Scheduling :

Coordinate and schedule plumbing service appointments, ensuring the efficient allocation of technicians based on location, skill set, and priority. Communicate with field technicians in real time to update schedules, adjust for delays, or accommodate urgent service calls. Monitor job progress to ensure timely service delivery and customer satisfaction.

Customer Service & Communication :

Act as the first point of contact for customers requesting plumbing services. Answer inbound calls and emails promptly, providing helpful information and scheduling service appointments. Keep customers informed about technician arrival times, any delays, and service status. Resolve customer concerns and provide proactive solutions to ensure a positive customer experience.

Administrative Support :

Maintain accurate service records, work orders, and customer details in our service management software. Assist with creating and processing service quotes, invoices, and other documentation as needed. Ensure all necessary paperwork is completed accurately for each job, including job details, parts used, and work performed.

Logistical Coordination :

Track technician locations and ensure optimized routing for maximum efficiency. Monitor inventory levels and ensure technicians are equipped with the necessary tools, materials, and parts for each job. Assist with ordering parts and supplies when needed, coordinating deliveries to ensure technicians have what they need.

Reporting & Documentation :

Generate daily, weekly, and monthly reports on service calls, job completion, and technician performance. Maintain up-to-date records for all client interactions, service details, and billing information.

Qualifications:
Education :

High School Diploma or equivalent (Associate’s Degree or higher preferred).

Experience :

1-2 years of experience in an administrative, dispatching, or customer service role, preferably in the plumbing, construction, or service industry. Experience with service management or dispatching software is a plus (e.g., ServiceTitan, Housecall Pro, Field Operations Microsoft 365).

Skills :

Excellent verbal and written communication skills. Strong organizational and multitasking abilities with a keen attention to detail. Ability to handle stressful situations while maintaining professionalism and a customer-focused approach. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills. Knowledge of plumbing services and industry terminology is a plus.

Preferred Qualifications:

Familiarity with commercial plumbing operations. Previous experience in a high-volume dispatching environment. Experience using scheduling or dispatching software.
