Full Job Description Position Summary:

The Facilities Manager is a hands-on position which will require a willingness to do whatever is needed to ensure day-to-day maintenance and safe operations of all Apex facilities. The Facilities Manager is responsible for the maintenance and upkeep across six Apex Community Care locations, including three owned buildings and three leased sites. The position will work primarily from our owned professional office building in Danbury with regular travel to other sites in Danbury, Waterbury, Torrington, New Milford. This role ensures all spaces are safe, clean, functional, and supportive of the organization’s mission and program needs. The Facilities Manager works closely with vendors, landlords, staff, and service providers to address maintenance issues, perform minor repairs, oversee major repairs, and uphold safety and compliance standards across all sites.

Responsibilities:

Serve as the primary point of contact for facility-related issues at six nonprofit sites (3 owned, 3 leased) Conduct regular facility walkthroughs to identify and resolve any maintenance or repair needs, safety concerns, or improvements Provide routine maintenance, minor repairs, and preventative upkeep Support compliance with health, safety, fire, and accessibility regulations at all locations Collaborate with landlords at leased sites to address facility-related concerns, compliance, and upgrades Track and manage maintenance requests, emergency responses, and work orders and ensure timely resolution Manage vendor relationships and assist with vendor selection, scheduling, quote collection, and invoicing for facility services and major repairs (Grounds keeping, HVAC, Plumbing, Electrical, Elevator, Alarms, Locksmith) Monitor supply levels for janitorial, maintenance, and repair inventory; place orders as needed Support staff and program teams with facility needs such as office setup, room configurations, or event setup Maintain organized records of maintenance activities, including warranties, inspections, permits, service logs, and vendor agreements and equipment warranties Assist in making sure facilities are compliant with building codes, ADA requirements, health, and safety regulations Assist in the implementation of facility-related policies, emergency procedures, and safety drills Other duties as assigned

Qualifications:

3-5 years of experience in facilities coordination, building maintenance, or a related role Ability to complete minor repairs and building maintenance, communicate and interact effectively with diverse coworkers and contractors, and external partners and manage multiple tasks and priorities Experience supporting multiple sites or departments Basic knowledge of building systems (HVAC, electrical, plumbing, safety equipment) Strong organizational and time-management skills Ability to work independently and proactively solve facility issues Frequent travel between buildings is required; valid driver’s license and reliable transportation necessary Heavy lifting, ladder use and hands-on troubleshooting required Occasional after-hours availability needed for emergencies or scheduled maintenance Bilingual or multicultural experience is a plus At Apex Community Care, we value diversity and the uniqueness of all people.
