Must have Hospital Facilities Management/ Plant Operationsexperience. Able to work in our Corporate Miramar, FL office. 25%travel.
All duties and responsibilities are to be performed inaccordance with VITAS Healthcare Corporation’s policies,procedures, guidelines, contractual commitments, and governmentalregulations.
Operations Management:
Overseeing day-to-day facility operations including buildingmaintenance, repairs, cleaning, security systems, and utilitiesmanagement. Create a collaborative culture among teams anddepartments. Visit company sites and team with field partners; advise themof recommendations for their sites. Ability to communicate solutions in partnership withoperational and field leadership. Builds meaningful relationships with internal stakeholders todevelop Facilities Management strategies that enable their businessobjectives to be achieved. Within designated grants of authority, approves purchase ordersand payment of invoices, as they pertain to the facilitymaintenance requests, communicating excessive costs proactively toProgram and Regional leadership teams. Oversees the management of the Facilities warehouse providingfor economic storage of excess furniture and emergencysupplies. Ensures the Facilities department and VITAS standard operatingprocedures and processes are followed to ensure consistency andquality of execution, recommends changes to and establish of newprocesses as required. Establishes services level agreements (SLA) and key performanceindicators (KPI) with Program and Regional leaders to measuredepartment effectiveness and opportunities forimprovement.
Compliance and Safety:
Ensures VITAS facilities follow all local, state, and federalregulations related to building safety, environmental standards,and accessibility. Ensures that VITAS facilities are compliant with HospiceConditions of Participation, partnering with other VITASdepartments, IPU hosts, and property landlords to ensure allrequired maintenance activities are completed per regulatorystandards and with proper documentation. Establishes and maintains a program for the routine inspectionof VITAS owned and leased facilities to identify facility-relatedcompliance, maintenance, and safety issues. Oversees scheduling and managing routine corrective andpreventative maintenance on all building systems and equipment;ensuring critical preventive maintenance tasks on life safetysystems and critical utility systems are completed on time. Acts as a subject matter expert in facility-related regulationscollaborating with other VITAS departments in developing strategiesand tactics to ensure compliance.
Budgeting and Cost Control:
Assist Facilities department leadership in development andmanagement of the facility department budget, including vendorcontracts, maintenance costs, and project expenses. Collaborate with Program and Regional leadership teams inestablishing annual budgets for facility-related maintenance andoperating expenses of VITAS owned and leased properties.
StaffSupervision:
Lead and manage a team responsible for Facilities Management ofthe VITAS real estate portfolio, including maintenance technicians,facilities specialists, purchasing specialists, and regionalfacilities managers. Perform employee performance reviews, create staff developmentand training plans. Mentor, develop and provide on-the-job training to subordinatesto strengthen their current performance and preparation for futureadvancement. Observe and evaluate employees and work procedures to ensurestandards for quality and service are met. Recommend personnel actions such as new hire requests anddischarges, to ensure proper staffing. Directly supervises regional facility managers, facilityspecialists, purchasing specialists and other employees in theFacilities Department as assigned. Fulfills supervisoryresponsibilities in accordance with the organization’s policies andapplicable laws. Responsibilities include interviewing, hiring, and trainingemployees; planning, assigning, and directing work; appraisingperformance; rewarding and disciplining employees; addressingcomplaints and resolving problems.
Project Management:
Initiating and overseeing small and medium size constructionand renovation projects, ensuring adherence to project goals,timelines, and budgets. Coordinate with Facilities project manager on plans forrenovations, additions, or new buildings. Actively participating indesign reviews to ensure cost effective and compliant facilitydesigns. Develops a multi-year capital forecast for VITAS ownedproperties and assists in capital planning for the entire VITASproperty portfolio. Have a strong computer and financial background and ability tocompose detailed memos requesting corporate consent to move forwardwith new projects.
Risk Mitigation and Emergency Management:
Identifies potential facility-related risks and implementspreventive measures to ensure employee safety and propertyprotection. Oversees development of annual hurricane preparedness resourcebinder in collaboration with other VITAS departments. Collaborates with other VITAS departments in the development ofemergency response plans for utility outages and otherfacility-related disasters. Participate in Security, Safety, and Emergency Managementinitiatives and meetings.
Space Management:
Manages space utilization within Central Support offices tomeet current and future business needs. Proactively notifiesFacilities department leadership when space utilization cannotmeet. Oversee the development and execution of purchasing strategiesvarious expense categories and maintain a tracker of savingsachieved. Leverages VITAS’ economy of scale in the selection, contractnegotiation and management of external vendors for maintenance,repairs, and other specialized services including evaluating thebenefits of national contracts vs. local vendors. Manages the relationship with VITAS group purchasingorganization to identify opportunities for performance improvementand cost savings. Manage the major Accounts for office supplies, shredding,postage, and shipping, including routine business reviewmeetings. RFP creation, bid review, selection, and evaluation ofthird-party vendors for contracted work. Implements and manages facility management systems (FMS)including building automation system (BAS), computerizedmaintenance management system (CMMS) to monitor building systems,track maintenance activities, and optimize energy usage.
Other:
Understand that he/she, and the staff that he/she works with,may be exposed to Protected Health Information (PHI), and ensuresthat he/she, as well as the staff he/she supervises, treats PHI perVITAS policies and procedures. QUALIFICATIONS
To perform this jobsuccessfully, an individual must be able to perform each essentialduty satisfactorily. The requirements listed below arerepresentative of the knowledge, skill, and/or abilityrequired.
Experience:
Minimum of 5 to 10 years Facilities Management required with3-5 years managing a multi-site healthcare environment. Previousexperience as a Director of Facilities or Facilities Manageroverseeing multiple locations preferred. Microsoft Office Suite; extensive knowledge and experience withMicrosoft Word, Excel, PowerPoint, and Teams, including advancedfeatures such as formatting, data analysis, presentation creation,and collaboration tools. AutoCAD; practical knowledge of AutoCAD for drafting anddesigning, with the ability to create, modify, and review technicaldrawings and plans. Project Management Software; practical experience with MSProject or other software for project management, includingcreating timelines, tracking progress, resource management, andreporting. Ability to read, analyze, and interpret general businessperiodicals, professional journals, technical procedures, orgovernmental regulations. Ability to write reports, business correspondence, andprocedure manuals. Ability to effectively present information and respond toquestions from groups of managers, clients, customers, and thepublic. Ability to manage staff in a positive and productive manner bymotivating, developing, and managing employees as they work. Ability to utilize and administer the disciplinary actionprocess through coaching and counseling to improve performance orterminate employment. Ability to communicate tactfully, verbally and in writing withdepartment heads, managers, coworkers, and vendors to resolveproblems and negotiate resolutions. Strong interpersonal skills within all levels of theorganization. Travel to off-site meetings and other work locations, up to25%.
Education:
Bachelor’s degree in a relevant field, such asfacilities management, engineering, or business management. MBA orequivalent is preferred. Alternatively, a minimum of 15-yearsrelated experience and/or training; or equivalent combination ofeducation and experience.
Certification & Licensure:
Certified Healthcare Facility Manager (CHFM) Certificationhighly preferred. Valid Driver’s License required. Valid Auto Insurance required.
