JOB RESPONSIBILITIES

Responsible for overseeing all reactive vendors (HVAC, Electrical, Roofing, Asphalt, Plumbing, Landscape, Janitorial, General Maintenance, Fire & Life Safety, Elevators, etc) which encompass more than 75 vendors and a budget of over $40MM. Work closely with stores and vendors to ensure the Facilities Department is meeting the Company expectations, included but not limited to ensuring that all vendors comply with contractual obligations (clean, sanitized, safe, comfortable, visually pleasing and clutter free environment). Negotiates all trade contracts for all locations and continuously conducts improvement amendments for better prices and increased service levels. Completes any vendor consolidation of trade services as needed or directed for janitorial, landscaping, A/C maintenance, fire/life-safety systems, elevators, pest control, etc. Manages reactive work orders at the right level, for the best overall price, and keeps expenditures under budget. Ensures vendors perform all work via the ServiceChannel work order tracking system. Meets quality assurance financial objectives by estimating requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions. Support Region Facilities Managers with any reports or questions/concerns as needed. Create Bi‐Monthly reports on Regions Capital Improvement projects. Discuss and review any CAPEX questions and ensure the scope of work and material used is approved by the manufacturers. Work with Region Facilities Managers where second quotes are required. Work with our financial accountant to oversee and track CAPEX and OPEX budgets. Work with the Facilities team to set up new and reliable vendors; guide vendors to make sure they can correctly navigate our systems (Fixxbook, Service Channel and Hicks); and explain to them the Company’s expectations. Makes sure all information regarding the facilities are updated. Adding new properties to Service Channel and marking when a property closes. Update database in Service Channel such as adding new/closed locations, new users, new vendor’s users, and updates in the dashboard. Provides managerial back-up to all positions in the entire Facilities department. Must be prepared to support Facilities Department in high pressure, high stakes situations, such as after major natural disasters (Hurricane, Fire, Flood, etc.) or other major health crisis.

Duties Include:

Manage Facilities vendors, processes, and staff to constantly improve facility maintenance standards, operational efficiencies, customer and Associate satisfaction indexes, and levels of safety for customers and guests at each facility. Negotiate and administer all facility related contracts, review and approval all invoices in specified formats. Supply technical support/advice for all facility related issues. Manage and coordinate disaster/restoration services Effectively manages communication on a timely basis to ensure store personnel are informed about work order processes. This includes monthly and quarterly scheduled reminders and alerts.

Direct Facilities operations to:

Improve the overall maintenance level, quality, and safety of the facilities. To reduce or keep flat the overall maintenance expenditures as appropriate. Manage facilities operating budget. Approve expenditures in accordance with the SOP. Establish measurement guidelines for comparisons of all facilities expenditures. Manage all staff related decisions and issues for facilities personnel.

QUALIFICATIONS

(MANDATORY): Seven years of experience in commercial real estate, property management, facility management, project management, and contract negotiations. Experience in utility management. Prior history working in automotive related field preferred. Mastery of computer skills including Windows Office, Excel, Word, and Industry specific software.
