Position Summary:
Florida Atlantic University is seeking a Facilities Mapping and Documentation Coordinator•Boca Raton, FL. The Facilities Mapping and Documentation Coordinator reports directly to the Director of Space Utilization or designee and serves all University sites and campuses. This position is responsible for developing, maintaining, and updating detailed floor plans, building information systems and infrastructure maps to support university operations, space planning and optimization, and strategic development. This crucial role helps enhance the institution’s efficiency, sustainability, and ability to effectively serve the University community. This position is designated as ‘Essential’ and supports university emergency operations and protocols.
Summary of Responsibilities:
Building Information Systems (BIS)
Management:
Implement, manage, and maintain building information systems (BIS) to centralize and digitize facility documentation. Integrate BIM (Building Information Modeling) technologies to track and visualize building infrastructure. Ensure data accuracy and interoperability across multiple platforms, including
GIS, CAFM
(Computer-Aided Facility Management), and CMM (Computerized Maintenance Management) systems.
Floor Plan Development and Maintenance:
Create, update, and maintain accurate digital floor plans for campus buildings. Ensure all documentation reflects the current state of campus facilities, including classrooms, labs, residential spaces, administrative offices, and public areas.
Infrastructure Documentation:
Map and document campus-wide systems, including but not limited to HVAC, electrical, plumbing, and safety. Maintain an accurate and comprehensive repository of infrastructure drawings, specifications and as-built records.
Space Planning and Utilization:
Collect relevant data for space utilization studies to optimize campus layouts for academic, research, and administrative needs. Contribute to recommendations for optimizing layouts to meet the evolving needs of University community. Provide analyses and recommendations for improving space efficiency and long-term campus planning.
Campus Collaboration:
Work with maintenance and operations staff and design and construction services managers and other relevant University stakeholders across all campuses and sites to obtain technical details and integrate updates into campus documentation and records.
Compliance and Standards:
Ensure campus maps, infrastructure documentation, and BIS data align with safety regulations, accessibility standards, and institutional rules and standards. Provide documentation and digital records for accreditation reviews, audits, and inspections.
Data Management and Reporting:
Develop and manage a centralized database of campus infrastructure and floor plans, ensuring data accuracy and accessibility. Generate reports and visualizations , and predictive analyses to support space allocation and optimization, budgeting, capital projects and strategic decision-making. Other Duties as Required. Minimum Qualifications:
Master’s degree from an accredited institution in an appropriate area of specialization; or bachelor’s degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required. Experience in spatial/geospatial information systems, such as Geographic Information Systems (GIS) certification or the ability to obtain certification in this subject within the first 18 months of employment required.
Preferred Qualifications/Skills:
Experience in higher education facilities management or an understanding of campus operations and higher education facilities and infrastructure requirements. Knowledge of space planning principles and campus planning tools. Familiarity with FAMIS as a CAFM and CMMS platform. Experience with Geographic Information Systems (GIS) or similar mapping tools. Certification in facilities management (e.g., FMP, CFM) or CAD design.
