General Summary The Facilities Administrator will develop, lead, and maintain a variety of facilities, support services and projects within a professional setting, focusing on local needs and requirements using best practices. This position requires a highly motivated individual to act as a liaison between facilities, employees, vendors, clients, and management. The person will be responsible for project tracking, task assignment and tracking, research supplies, coordinate tasks and subcontractors, tracking the facilities, master schedule, and performing other administrative tasks. Responsibilities Acts as first responder for all space related issues and maintains employee cubicle assignments Deals with day to day facilities management issues. Manages the facilities master schedule and status updates Administers invoice processing and purchase orders for facilities Coordinates facilities services and work order system Maintains building occupancy reporting Coordinates repairs with appropriate vendors, such as HVAC, plumbing, electrical, building property management, etc. Coordinates employee moves and interfaces with other departments Assists in vendor coordination related to facilities services Assists the Environmental Health & Safety Coordinator with paperwork, schedule training and be the day to day contact for facilities staff. Onboarding of new hires for Facilities issues, phone systems administration and card access. Coordinates job ticket system for facilities and cleaning Various filing and data entry projects Assist departments with administrative and various projects as needed. Other duties as assigned Qualifications High School Diploma Three years’ work experience, comfortable with all facility-related needs including one-year experience in an office setting.
