GENERAL STATEMENT OF DUTIES
Provide administrative support for Facilities & Capital Planning, Environmental Safety, Storeroom, and Power Plant. Please see the full Administrative Assistant series classification specifications.
EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES
Enter and edit Facilities & Capital Planning payroll for 70+ employees using the Commonwealth time and attendance system. Enter weekly overtime chargebacks to various campus departments for maintainers/trades workers. Enter monthly supply chargebacks to campus departments. Generate letters to remain in compliance with union and government standards. Create/distribute workorder tickets to personnel, and close ticket when completed. Contact appropriate vendors for service including, elevators, fire alarms, locksmith, pest control, etc. Enter requisitions for department purchases. Prepare reports on preventative maintenance and emergency waivers as needed. Process invoices pertaining to facilities operations. Consults on budget formation and needs, monthly review of departmental budget. Process all hiring forms including, hiring justification, vacancy requests, and hire requests. Generate yearly contract employee paperwork. Issue keys and ID badges to provide access to various buildings for vendors. Other duties as assigned.

WORKING CONDITIONS
Work in a general office setting with the majority of time sitting and working on a computer.
Job Requirements:
MINIMUM QUALIFICATIONS
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.• II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.• Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
PREFERRED QUALIFICATIONS
Bilingual in Spanish and/or Portuguese. Ability to multi-task and prioritize assignments. Knowledge of Ellucian Banner, Team Dynamix, and/or HRCMS.

This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a union title of Administrative Assistant II. The bi-weekly pay rate is $2,312.28 (grade 17, step 1).
