RESPONSIBILITIES Job Specific Competencies:
Coordinate the day-to-day office operations of the facilities/maintenance department. Administers the computerized work management system, provides, and prepares work orders and reports to the appropriate supervisors or service technicians. Receives and coordinates telephone and walk in requests for service. Prioritizes and coordinates requests, dispatches proper service personnel. Assists department supervisors or service technicians in parts location or pricing and/or coordinates or contacts outsourced services as requested. Maintains a purchase order system, audits purchase orders, matches billing statements to PO numbers and work orders and codes to each department budget. Completes reports and documentation as needed. Reads and answers electronic mail, answers all telephones, acts as point of contact for all departments, transcribes messages using electronic format. Processes paper mail, correspondence, files documents, make copies, and faxes documents. Develops and distributes internal employee communications regarding facilities events including the coordination of the event as needed. Develops and reviews facilities policies and procedures. Orders supplies, maintains record, arranges appointments, and prepares reports. Assures the smooth operation of day-to-day office details. Tracks and administers JCMG’s time management systems for all facilities employees and prepares payroll reports for submission as needed. Maintains and tracks records on employee PTO, FMLA, and overtime. Assists with the recruitment and selection of job applicants for all facilities positions including posting positions, tracking open positions, and scheduling appointments as requested by the department manager/director. Ensures the timely and accurate entry of work tickets into the system, provides data on work orders and their completion. Communicates and coordinates directly with customers by phone, email or in person for all types of work orders, preventative maintenance, and other project work. Documents all actions with work orders or phone and meeting notes. Provides administrative support to facilities maintenance. Performs other clerical work in support of the office such as prepares various recurring and special memos and reports by gathering information from files, utilizing computer software, graphics spreadsheets, etc. Receives and answers or redirects incoming phone calls. Answers routine questions and provides follow-up information on a variety of requests or services provided to customers. Perform other duties as assigned.

MINIMUM QUALIFICATIONS
Education:
High school diploma or equivalent
Experience:
2 years of office experience
Certification/License:
Valid MO driver’s License, without any major violation within the past 5 years. JCMG reserves the right to investigate both criminal and driving records.
Knowledge/Skills/Abilities:
Knowledge of basic office equipment and cleaning supplies Good communication skills Must be able to read instructions, understand written and verbal directions. Coordinate facilities office operations and management, including routine, reporting and correspondence. Basic knowledge of facilities maintenance functions. Understand, interpret, and follow complex oral and/or written instructions. Communicate clearly and effectively, orally and in writing. Read and understand correspondence, and directions. Act in a decisive manner using good judgment. Work calmly in emergency and high stress situations avoiding overreaction. Adjust quickly to constantly changing work requirements and procedures. Establish and maintain effective working relationships with JCMG employees, providers, vendors, contractors, and the general public. Maintain strict confidentiality. Accurately use Microsoft Word, Microsoft Excel, Microsoft Outlook, phone, and fax/copy machines.
WORK ENVIRONMENT
Work is in a heated/airconditioned building, exposure to harsh cleaning agents and toxic chemicals, frequent exposure to dirty and unsanitary conditions, exposure to contaminated wastes and body fluids, and frequent exposure to cleaning fluids and toxic materials.
