This role plays a vital part in supporting building upfits, routine repairs, and maintenance tasks. The position requires light travel between locations and a high degree of organizational and communication skills. ESSENTIAL JOB FUNCTIONS
Manage the company’s facility ticketing system to ensure timely response and resolution of requests across all company buildings. Serve as the first point of contact for internal facility-related issues and coordinate appropriate service actions. Schedule and coordinate vendor services for routine maintenance, repairs, and inspections. Track service completion and document all work orders, ensuring accurate logs are maintained. Assist in facility-related procurement, including ordering supplies, materials, or services as directed. Support planning and execution of space reconfigurations, employee moves, and building upfits. Coordinate small-scale projects with third-party vendors, contractors, and internal stakeholders. Ensure compliance with health, safety, and facility regulations at all times. Maintain organized documentation for vendor contracts, building layouts, and compliance inspections. Participate in site walkthroughs and inspections to identify and report facility concerns. Support sustainability and recycling initiatives. Travel to local sites as needed to support operational requirements and vendor coordination. Maintain timely updates within the ticketing system to reflect work status and resolution. Identify and onboard new vendors as needed to meet maintenance demands. Review and maintain vendor contracts and item/service warranties.
EDUCATION, EXPERIENCE AND TRAINING
Minimum of 2-4 years of experience in facilities coordination, property management, or administrative operations. Familiarity with building systems, service vendors, and basic maintenance terminology. Proficiency in Microsoft Office and ticketing/project tracking software (e.g., ServiceNow, FMX, Monday.com). Comfortable performing general repairs (e.g., lighting, plumbing, door hardware, drywall, etc). Ability to work independently and manage vendors without constant supervision. Familiarity with basic building systems (HVAC, electrical, plumbing). (Preferred) Familiarity with warehouse or industrial environments. Experience in a fast-paced, multi-site organization is preferred. Purchasing or vendor coordination experience is a plus. Valid driver’s license required
MENTAL AND PHYSICAL REQUIREMENTS
Strong interpersonal and organizational skills with attention to detail. Ability to prioritize multiple requests and meet time-sensitive deadlines. Must be able to lift up to 50 pounds and perform physical tasks such as room setups or walkthroughs. Willingness to visit job sites, walk buildings, and interact with field and office teams.
WORKING ENVIRONMENT AND CONDITIONS
Travel between company locations as needed. Occasional overnight stay is required Work performed primarily indoors in warehouse or outdoor conditions. May be exposed to minor noise, dust, or maintenance-related activity on-site.

Company vehicle will be provided for business use only Standard office equipment (computer, phone, printer). Ticketing and tracking software. Use of forklift Occasional use of basic facility tools and equipment for coordination tasks.
