Assistant Facilities Manager 3.7 3.7 out of 5 stars Charlotte, NC 28255 The Assistant Manager, Facilities will assist the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client’s corporate real estate goals and objectives What this job involves: Site and Vendor Management Help manage the site in accordance with all agreed policies, procedures and contract scope. Promote a high level of satisfaction among client by promptly responding to their service needs. Coordinate and schedule service activities at assigned client location(s). Acts as an interface with the client when needed. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation. Demonstrate leadership, responsiveness, and creativity in finding solutions for service delivery. Assist in managing vendors for mechanical, electrical, plumbing, carpentry, HVAC, janitorial and other cleaning services, landscaping and other vendors defined within the portfolio of respective campus. Conduct janitorial and landscape service inspections and ensure high-quality service levels. Proactively partner with key vendors. Effectively implement vendor management best practices. Communicate Safety, KPI and SLA requirements to them in a timely way. Engage them in the identification of service delivery improvement and savings identification. Oversee their work and ensure work is performed per contract. Meet or Exceed Site KPIs; Monitor SLAs monthly to identify potential off-track areas and plan corrective actions accordingly Partner with sourcing and vendor management to effectively manage vendor relationships Read and fully understand the requirements set forth in the Master Services Agreements Support facility services including event management. Support the Facility Manager in the implementation of short and long-term projects for the client. Demonstrate strong collaboration and teamwork within service lines to coordinate and complete small projects. Enforce all Company policies and training requirements regarding safe and efficient operations and work practices. Implement and monitor hazard control and team safety practices, ensure compliance with local codes and regulations and Jones Lang LaSalle operations standards. Demonstrate strong collaboration and teamwork within the account team, by including driving the development and implementation of IFM best practices and innovations. Support work order management for in-house staff and vendors as necessary and when needed monitor WOs dispatched to suppliers to ensure compliance with SLAs and WO Management. Initiate service requests as needed to support Client requests/needs. Complete all client and JLL and BofA required trainings Other duties as assigned Client Relationship Management Proactively develop and manage client relationships ensuring that expected service levels are achieved. Ensure client satisfaction with the delivery of Facility Management services and provide a lead role in monitoring and increasing customer satisfaction. Comply with all requirements of the client contract and meet or exceed key performance indicators. Deliver an exceptional quality of service to the client, as reflected by client feedback. Support the implementation of innovative programs and processes that reduce short and long term operating costs and increase productivity. Finance Management / Cost Control / Profitability Assist the FM to achieve or exceed financial targets and key performance indicators. Assist with the annual budgeting and quarterly forecasting processes for the site/s as well as prepare monthly spend reports (actual vs. budget, variance etc.) Help manage vendor invoices, and payments Help to develop the annual capital plan for each building, interfacing closely with the finance team and client Actively support an environment of teamwork, co-operation, performance excellence and personal success. Minimum 2 years of supervisory experience in facilities management or related field. Proficient in a range of information technology tools and platforms. Strong analytical, organizational, and presentation skills. Experience working within CMMS/Work Order systems, or Corrigo preferred. Proficient skills in Microsoft Office Suite, including Excel, Word, Outlook, and Teams Strong proficiency with Microsoft Office Suite including Outlook, Word, PowerPoint & Excel, and SharePoint.
