Full Job Description Job Accountability/Responsibilities:

Essential Functions –

Clerical and Administrative:

In order to better serve our customer needs, business hours should be 8AM to 5PM with a diversified strong work ethic. Order and maintain copier supplies, paper and other regular office supplies. Maintain gym area for cleanliness and towel replenishment. Load used towels for vendor pickups in bins provided and contact vendor. Distribute mail and place in appropriate offices or bench seats. Purchase postage, maintain FedEx, UPS and Postal Service supplies. Work with sales team to package up trade show equipment for shipping and receiving. Create Highwoods service tickets for maintenance issues, pest control, doors, restrooms, lighting, HVAC, etc. Make sure training room is set for all trainings, check to see what type of layout is needed and ensure proper supplies, laptop hookups, etc. are provided. Escort vendors to make sure breakrooms are maintained with stock of paper towels, dishwasher tabs, coffees, creamers, dairy products. Periodically walk through breakrooms to check coffee, water, refrigerators, microwaves, and ice machines to make sure all are working properly throughout the day. Escort visitors to meeting rooms, offer a beverage, show restrooms, advise meeting participants of visitor in room. Maintain meeting rooms – clean whiteboards every evening, make sure there is hand sanitizer and tissues in all of the rooms and that they are stocked with dry erase markers and erasers. Familiarize yourself with hotels in the area, corporate rates and codes and be of assistance when needed for customers. Do a bi-weekly walk-thru of Ambius plants checking to make sure they are in good shape. If not, reach out to vendor for an onsite consultant visit to review. Go to BJs for snack and ice cream weekly distribution making sure these items are well stocked. Order fruit for Wednesday distribution via InstaCart. When committees are onsite or lunch meetings occur, take action by reaching out to meeting participants to place orders for resources needed for meetings – caterings, supplies, hotels, etc. Set caterings up appropriately and clean up. Dishwashers need to be turned on in the evenings and emptied in the mornings. Knowledge, Skills, abilities/minimum requirements/competencies: Proficiency in Microsoft office Suite required. Proven analytical abilities. Excellent interpersonal skills necessary to communicate and negotiate with customers, vendors, employees, and management. Must be well organized, task-oriented, and flexible. Must be able to manage multiple tasks, recognize priorities and meet deadlines, as well as take initiative in handling matters to conclusion. Need skills to coordinate multiple tasks while simultaneously retaining details, meeting deadlines and solving problems rapidly. Must be able to track and manage inventory of office supplies and facility-related materials Must be a self-starter with ability to make decisions independently. Accuracy in data entry. Education, experience, certification/training: Proven experience in facilities management or a related field, often requiring a minimum of 3-5 years. High school diploma or equivalent required. Bachelor or Associates degree preferred. A high level of customer service.

Physical Requirements:

Sedentary work : Assignment involves sitting at workstation (desk) most of the time (up to 8 hours) with only occasional walking and/or standing

Keyboarding :

Primarily using fingers for typing

Talking :

Expressing or communicating verbally through use of spoken words (accurately conveying detailed or important spoken instructions to others)

Hearing :

Ability to receive detailed information through oral communication and to make discriminations in sound.

Visual :

Through close visual acuity, required to perform activities such as: preparing and analyzing data and figures; transcribing; viewing computer terminal; extensive reading (with or without correction).

Environment :

Work is performed within an office setting and therefore there is no substantial exposure to adverse environmental conditions (i.e., extreme heat, cold, noise, etc.). Must be able to lift up to 50 pounds.
