Assistant Vice-President, Facilities, Transportation & Security
POSITION SUMMARY
: Under the direction of the
AVP, FTS
management of all aspects of departmental operation with specific emphasis on the oversight of the facility portfolio upkeep, security personnel assigned to all modalities, particularly the OTP program and the management of the transportation program to ensure the delivery of coordinated, quality services are provided to clients consistent with all safety guidelines and regulatory requirements.
POSITION DESCRIPTION
A. Assist in the Effective Management of the Facilities, Transportation and Security Department Position requires 24/7 on-call to respond to emergencies Assist the
AVP, FTS
in the management of departmental operations and facilities portfolio Consult with the
AVP, FTS
on all matters pertaining to departmental operations Provide administrative and analytical support to FTS including tracking service orders, reporting on security incidents, and developing and implementing policies and procedures. Work closely with AVP, FTS and all Program Services overseeing OTP to meet programmatic goals and objectives. Attend as required staff meetings, manager meetings, project meetings, etc. and actively participate and contribute to discussions. Advise OTP program of potential areas of concern and/or volatile situations, safety hazards and building related problems. Where necessary, take corrective action and/or offer appropriate advice to address such matters. Prepare and submit all required reports including statistical summaries, analyses, and research findings. Maintain services orders database and generate service orders activity reports, offering insights about such activity. Schedule and perform site evaluations of VIP modalities. Report and analyze results. Advise on corrective action. Perform other duties and special projects assigned by the AVP or

. Ensure the Safety and Security Standards and Measures are in Place and are Followed by All Clients and Staff Develop and implement audit procedures and practices to test security staff readiness and response time. Measure outcomes and take corrective action where necessary to improve readiness and response times. Develop and implement a schedule to conduct fire, bomb, safety and other drills as indicated by procedure or instructed by the AVP. Serve as a liaison with contracted vendors including alarm companies (Fire, burglar, panic buttons, etc.) ensuring that all alarms are in working order. Direct supervision of Field Supervisors, foreman and all security, overseeing maintenance and drivers in all modalities including the OTP Program. Maintain security records of daily operations (patrols, incidents, vandalism, etc.). Provide information on emerging trends and take corrective actions where necessary. Ensure that patrols for loitering are done on a routine basis and that corrective action is taken to address concerns. Schedule and oversee security searches at VIP modalities. Report on findings and advise on corrective actions. On a monthly basis, check the maintenance logs for each vehicle to ensure compliance and completion. Conduct monthly maintenance inspection for each vehicle owned and operated by the agency to ensure the vehicle is properly maintained in accordance with manufacturers’ recommendations. Ability to prepare staff for any emergency. C. Manage and Supervise Maintenance, Security and Transportation Personnel. Prepare work schedules for all security and transportation assignments. Train security staff in bomb threats, and fire and evacuation procedures. Keep staff readiness and response alert time. Establish and monitor performance standards for all assigned staff. Document and report behavioral, attendance, and job performance issues for staff. Conduct performance evaluations of all security, handymen and transportation staff. Responsible for calculating, approving, and submitting time sheets for all assigned staff. Oversee transportation unit activities and staff. Collect transportation requests and dispatch drivers as required. Ensure assigned staff have required licenses in good standing through annual audits and ensure drivers receive and follow the drivers’ policy, including submission of their driving record on a biannual basis. Provide training on how to document incidents and write reports of such occurrences
Requirements:
POSITION QUALIFICATIONS
BS/BA in Human related field a certificate from related trade school with 2 years supervisory experience in facilities management and 3+ years of security experience AND Knowledge of Microsoft Excel, Word and Access. Current NYS Security Certification & licenses preferred Current NYC Fire Department Certificate of Fitness License Fire & Life Safety Director Required. Excellent verbal and written communication skills Current NYS Driver’s License required.
