Job Description

Commercial Facilities Property Manager James Properties, Inc. Erie, PA 16506 The Westminster Group Companies are growing and seeking a motivated individual to help develop and lead a new facilities division within our commercial real estate organization. This is a unique opportunity to shape operational standards and field practices across a portfolio of primarily retail properties, working closely with our development and property management teams. We’re looking for a hands-on, solutions-oriented professional to help manage the day-to-day operations and long-term upkeep of our real estate portfolio. Ideal candidates will have experience in facilities, construction, or commercial building operations and an interest in helping build systems and processes from the ground up. Key Responsibilities Property Maintenance & Field Operations Review lease agreements to determine landlord vs. tenant maintenance responsibilities Build and manage a system to track property maintenance needs and inspections Monitor core building systems (HVAC, electrical, plumbing, roofing, etc.) and proactively identify issues Conduct annual property inspections across the portfolio Draft consistent, professional communications for tenant maintenance obligations Respond to and resolve service requests efficiently Create and execute action plans to fulfill landlord obligations in a timely, cost-effective manner Tenant & Vendor Communication Develop templates and systems for communicating with tenants and internal lease administrators Act as a key point of contact for tenant facility and maintenance issues Ensure tenants are informed of maintenance schedules, access needs, or site disruptions Build and maintain a vendor list of qualified service providers (HVAC, electrical, plumbing, roofing, etc.) Budget Support & Documentation Track service activity, repair logs, inspections, and vendor site visits Review and code invoices; support budget preparation and tracking Assist with reporting on property-level operational costs Compliance & Safety Support compliance with building codes, safety standards, and regulatory requirements Identify and mitigate on-site risks and hazards Assist with documentation for insurance, permitting, inspections, and claims Qualifications & Preferred Backgrounds We welcome candidates from a variety of hands-on and operational backgrounds. Facilities or property management General contracting or field supervision Commercial maintenance or trade services Retail operations with facilities responsibilities Skills we value: Ability to coordinate tasks across multiple sites Strong interpersonal and communication skills Vendor and contractor coordination experience Proficiency with email, Microsoft Excel, Word, and Outlook Familiarity with common building systems and tools

Work Environment:

This role involves both office work and limited travel to assigned properties. Candidates must be comfortable walking sites, inspecting conditions, and occasionally overseeing maintenance work.

Job Type:
Full-time Pay:

$70,000.00 – $80,000.00 per year
