The Operations Manager’s primary duty is the performance of work directly related to management of general facility operations and requires the incumbent to exercise discretion and independent judgment with moderate oversight. Under general supervision assists in the planning, developing, organizing and coordinating services for the Agency’s facilities operation, by performing the following duties. The successful candidate for this position will possess proactive problem-solving skills and excellent prioritization and time management capabilities. The ideal Operations Manager will display high levels of customer service to internal and external stakeholders with strong communication skills. It is imperative that our Operations Manager demonstrates accountability, ownership and integrity in all manners of work. Position Logistics Full-time (37.5 hour work week), routinely 8:30 am – 5:00 pm Monday – Friday. This position is considered an Essential Worker and must be available for on-call hours including nights, weekends, and holidays. Primary in-office location is our Richland county building, with travel needed to other facilities with regularity Education, Experience & Licensure Requirements Bachelor’s degree. An associate’s degree and two years of related experience or High School Diploma with four years’ experience and/or training related to performing the duties of the position may be substituted for the bachelor’s degree Must have experience supervising a team or acting in a lead capacity with responsibility for work management. Prior experience working across multiple locations is highly preferred. Must have valid SC driver’s license with no restrictions.
POSITION OVERVIEW
Facilities Maintenance;
Vehicle Maintenance:
(30%) Ensure that all DPH, CARF and HIPAA regulations and/or standards for facilities, vehicles, and equipment are met. Utilizing multiple levels of technical systems to monitor and properly maintain agency related systems including HVAC, lighting, access control, and other systems according to system/manufacture specifications. Ensure maintenance and proper record keeping of agency owned/leased vehicles. Ensure proper grounds maintenance of agency owned properties. Monitor and ensure facilities are properly maintained. Manage, maintain, issue and audit all agency keys and access control ID cards. Ensure kitchen, storeroom and refrigerated areas are kept in accordance with DPH and other regulations
Vendor Management:
(25%) Serve as day-to-day contact with external contractors related to operations including but not limited to facility, security and grounds related maintenance. Support administrative oversight for agency cell phones. Manage services related to access management and video equipment.
Supervisory and Management Responsibilities:
(20%) Monitor and analyze department work to develop more efficient procedures and use of resources while maintaining a high level of attention to detail. Provide training to new and existing staff as needed. Responsible for personnel-related actions including hiring selections, advancement, promotion, firing, disciplinary, and overall performance management including setting performance standards and goals.
Health, Safety and Wellness:
(15%) Ensure that all DPH, CARF and other agency related regulations and/or standards for agency health and safety programs are met. Serves as facility administrator in the absence of the administrator as it pertains to DPH license. Serve as Chair of Health, Safety and Wellness Committee. Evaluate and monitor potential risks and hazards regarding employee and/or client/visitor health and safety issues. Act as liaison to Worker’s Compensation Insurance Company regarding safety issues. Plans, prepares and implements all health and safety training curriculums and training events for the agency.
Courier Service:
(5%) Ensure the mail is picked up, sorted and delivered to the appropriate facilities/areas per the schedule. Ensure the urine screens are picked up and delivered to the appropriate facilities/areas per the schedule.
