GENERAL DEFINITION OF WORK

: Under supervision, oversee the overall activities at the Germantown Performing Arts Center which include the outdoor and indoor venues. Supervises and parti cipates in event set-up and take-down acti viti es. Oversee the daily cleaning, safety and security of the facility to ensure that the experience of each patron is enjoyable and safe. Examples of Duties Supervise or serve as Front-of House manager for all performances and events. Maintain visibility and availability during events to ensure that all house rules and regulations are followed. In conjunction with the box office, handle patron issues, such as ticketing/seating conflicts, complaints, and medical emergencies, reacting to situations with tact, calmness, speed and efficiency. Make calls to emergency personnel as needed. Supervise or serve as Back-of House manager for all performances and events. Maintain visibility and availability during events to ensure that all back stage activity related to events and performance groups. Oversee and participate in the recruitment, training and supervision of all paid and volunteer ushers. Schedule, make position assignments, keep records of hours worked, and ensure that quality customer service is provided. Supervise a team of Facility Coordinators who all share duties and responsibilities for all events. Oversee or perform event coordination for non-technical rental events. Meet with clients and offer suggestions for room setup; provide information regarding the facility capabilities; determine setup requirements and coordinate personnel and equipment needs as required. Supervise and participate in the set-up and take-down activities for events. Provide verbal and written direction to set-up staff to ensure that setup of chairs, tables, stages, decorations or other equipment is in accordance with lease requirements and with safety standards and fi re and health codes. Work closely with building maintenance to coordinate timely cleaning and routine maintenance of the facility after each event to ensure the safety and health, and an overall pleasant experience of patrons. Serve on the security team to provide 24/7-security alarm call response. Inspect and report any illegal or unauthorized building entry to the proper authorities. Open, close and secure facility before and after events, coordinating with other authorized staff as needed. Perform regular inspections of the facility to evaluate the condition and safety of the facility and to ensure compliance with safety and fire regulations. Report problems and needed repairs to the supervisor, and submit work requests via computerized work order system as necessary. Provide direction to the front-of-house staff and patrons in the event of an emergency, implementing evacuation procedures according to city emergency procedure guidelines. Enforce all safety standards and regulations as they relate to building and crowd management and continually remain alert to any potential problems or safety hazards. Initiate and process check requests for events, subcontractors and vendors. Participate in pre-event meetings with staff to obtain event specifications and consult on non-technical setup options as needed. Work with technical and box office staff to coordinate activities. Operate the HVAC temperature control systems for the entire complex using specialty soft ware. Monitor security and fire alarm systems. Maintain and monitor inventory of hospitality supplies and equipment. Must be punctual and timely in meeting all job performance requirements, including but not limited to, attendance and tardiness standards and work deadlines. Manage, edit, and create contracts for assigned events and ensure deposit schedules are followed accordingly. Create and manage work schedules for full-time, part-time, and contracted employees. Assist in managing the Master calendars for GPAC and The Grove. Manage payments for contracted employees ensuring all proper documentation is provided to the accounting department. Manage temporary and fixed building signage by working with vendors or creating in-house. Oversee or perform event coordination with artist personnel for all non-technical aspects of each event at least one month ahead of the day of show, including but not limited to hospitality, transportation, lodging, merchandise sales, parking, meet and greets, etc. Ensure all requests and requirements of the artist or group are met according to the executed contract and within budget. Communicate all details to applicable departments. Ensure that each event is staffed appropriately. Conduct annual performance evaluations for employees.

EDUCATION AND EXPERIENCE

: Five years of event management experience that involved crowd management activities in an event facility, including at least two years in a supervisory capacity; or any combination of education, training, and experience providing the knowledge, skills, and abilities necessary to perform essential job functions.

WORKING CONDITIONS

: Majority of work takes place in heated well-lit buildings. Some heavy lift ng and carrying of objects required to set up and remove event-related equipment. Irregular hours required including evenings and weekends.
