Role and Responsibilities This position will serve as the Administrative Office Manager and will perform a variety of administrative office management duties to support administration and the Board of County Commissioners. Work includes providing administrative support to assist the County Administrator in administrative oversight of various programs. Duties include completing Board Agenda from planning to completion, manning the front desk and assisting all walk-ins and incoming phone calls as well as other duties, as assigned. This position is required to have a thorough understanding of office etiquette, inter-department communication, and be able to coordinate, direct, and manage a high volume of requests. Work involves preparing all types of correspondence and reports, distributing mail, maintaining calendars and schedules, making reservations, greeting visitors, establishing and maintaining the office filing system, making copies, and answering and routing phone calls. This position requires a person that can effectively communicate with the public, as well as occasionally diffuse hostile situations. Essential Job Functions Serves as a receptionist; answers multiple phone lines, routing calls or answering questions based on general knowledge of the activities in the County; greets visitors. Serves as the Subject Matter Expert for the bi-monthly Agenda, this position will be responsible for all facets of the process from pre-agenda preparations to post-agenda follow-up/through items. Types correspondence; receives, timestamps, and distributes mail and other information; files and makes copies. Codes and tracks operational expenditures for various Departments to turn into Finance in accordance with outlined timeframes. Supports Administration and Operations, as needed. Screens and routes materials according to content of communications, based on detailed knowledge of department operations and individual staff members. Makes reservations for the use of company vehicle, Conference Room, and Board Room, as needed. Coordinates meetings for various boards, ensuring availability of rooms, equipment, materials, refreshments, etc., as requested or otherwise deemed necessary; organizes various County events, as requested. Coordinate and maintain the County Administrator’s daily calendar. Coordinates travel arrangements for the County Administrator and the Board of Commissioners. Assists department heads and commissioners as needed. Work closely with Clerk of the Court employees to gather and share information, documents etc. Handles payroll duties to include leave slip preparation, spreadsheet tracking, payroll submission, and paycheck distribution. Prepare, issue, and track pet vouchers. Accept payments for the sale of County-themed merchandise. Prepare and submit deposits of sale proceeds to Clerk’s office on a regular basis. Monitor office email account and route incoming messages to appropriate departments based on detailed knowledge of department operations and individual staff members. Qualifications and Education Requirements Associate’s degree in business management or a related field and 3 to 5 years of experience providing administrative/management support, preferably in a governmental setting; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities. Proficient personal computer skills required. Must be able to exercise tact and courtesy in dealing with the public. Must be able to handle potentially sensitive information with discretion. Possession of a valid Florida driver’s license prior to employment. Proficient personal computer skills required. Knowledge, Skills, and Abilities Considerable knowledge of math, spelling, grammar and punctuation. General knowledge of modern office practices and procedures. General knowledge of County personnel policies, programs and procedures. Skill in organizing work flow and coordinating activities. Skill in the operation of common office machines, including popular computer-driven word processing, spreadsheet and file maintenance programs. Ability to make routine administrative decisions independently in accordance with laws, regulations, and County policies and procedures, and to solve problems and answer questions. Ability to compile data from varied sources and complete complex reports from such information. Ability to communicate effectively both orally and in writing. Ability to develop and modify work procedures, methods and processes to improve efficiency. Ability to establish and maintain complex records and files. Ability to exercise tact and courtesy in dealing with the public. Ability to establish and maintain effective working relationships as necessitated by work assignments.
Additional Requirements Physical Requirements:
Must be physically able to operate a variety of automated office machines including computers, typewriters, copiers, facsimile machines, etc. Must be physically able to operate a motor vehicle in a safe manner. Must be able to exert up to 20 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Physical demand requirements are in excess of those for Sedentary Work. Light Work usually requires walking or standing to a significant degree. However, if the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Requires the ability to speak to people with poise, voice control and confidence.

Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardized exists; to interpret a variety of instructions furnished in written, oral diagrammatic, or schedule form.

Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc. Must have minimal levels of eye/hand/foot coordination.

Requires the ability to differentiate between colors and shades of color.
Interpersonal Temperament:
Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.
