Managing Director (Finance & Administration)

Reports To:
Executive Producer Direct Reports:
Theater Administrator Financial Management:

(60% of role) Develop annual budgets in collaboration with the Executive Producer Maintain and record financial transactions and data Manage accounts payable, accounts receivable, and oversee payroll Manage banking activity: monitor balances, reconciliations, and prepare deposits Provide timely financial reports and cash flow analysis. Administer 403(b) plan including provider and federal reporting requirements Renew NC solicitation license and ensure compliance with local regulations Coordinate timely reviews of insurance coverage; complete required annual audit for worker’s comp coverage Work with Board Treasurer to keep them apprised of financial status Set-up and monitor appropriate cash handling guidelines for Box Office, Concessions and Fundraising Events Manage reporting and payment of sales tax as required by state law Prepare and send 1099s and 1096s per IRS requirements, and ensure show contractors are paid Work with CPA firm to ensure audit and tax return is completed

Development:

(15% of role) Facilitate donor acknowledgement Oversee annual June fundraiser working with Executive Producer, staff, Board, and volunteers Assist with the annual end-of-year giving campaign Work with the Executive Producer to receive major gifts ($1000+) and sponsorships. Develop donor stewardship alongside the

Executive Producer and Theater Administrator Grant Management:

(15% of role) Alongside the Executive Producer, maintain calendar and coordinate team for grant submissions and reporting Provide financial and budget information for grant applications. Meet financial reporting requirements by preparing annual reports, semi-annual reports, and other documentation Interface with grant agencies and attend grant preparation and defense meetings.

Administration & Leadership:

(10% of role) Attend Board meetings Manage onboarding paperwork to meet state and federal requirements, and payroll set-up. Maintain employment paperwork Maintain company documents and appropriate backups Ensure adherence to revenue goals and approve expenses. Present financial reports and other financial analysis for board meetings alongside Treasurer Oversee ticketing reconciliation, box office, and concessions for shows. Develop pricing for season subscriptions, tickets, and promotions in collaboration with Executive Producer and Theater Administrator Manage the

Theater Administrator Minimum Requirements:
Experience:

3+ years in financial management, accounting, or related administrative role.

Software Skills:

Proficiency in QuickBooks for accounting and financial reporting.

Financial Expertise:

Experience with budgeting, accounts payable/receivable, payroll , and bank reconciliations.

Grant Management:

Familiarity with grant reporting and financial compliance.

Administrative Skills:

Ability to manage contracts, financial records, and tax filings (1099s, 1096s, sales tax).

Communication:

Strong written and verbal communication skills for donor correspondence and board reporting.

Detail-Oriented:

High level of accuracy and attention to detail in financial documentation.

Preferred Requirements:
Non-Profit Experience:

Previous work in non-profit financial management or grant-funded organizations.

Fundraising Knowledge:

Familiarity with various development strategies. Event management experience is a plus.

Leadership Skills:

Experience managing staff and collaborating with board members.

Theater/Arts Background:

Understanding of theater operations or arts administration.

Tech Proficiency:

Comfort with ticketing or CRM platforms and Microsoft Office/Google Workspace.
