m. Union Management Posting Detail Information Job Summary/Basic Function About the position: Serves as the confidential Executive Associate to the VP for University Advancement. This position has primary responsibility for a variety of executive secretarial assignments. including prioritizing and maintaining VP calendar and scheduling of internal and external meeting request; keeping a tickler file of open action items and upcoming due dates; drafting correspondence and presentations for the VP; directing incoming mail to appropriate functions; printing documents as background material for VP meetings; making travel arrangements; monitoring leave status of the VP direct reports; and facilitating communications with the President’s Office, Cabinet, the Council of Trustees, and the State System of Higher Education, including the Office of the Chancellor and the Chief Advancement Officers. Duties and Responsibilities Ensure that the Vice President of Advancement is fully and daily prepared for meetings and presentations including confirming meeting details and compiling and preparing briefing/meeting materials. Compile, prepare, distribute reports, minutes, and meeting materials and maintain a high level of acuity in the follow-up to important action items. Schedule regular staff meetings between the Vice President and his direct reports. Schedule PASSHE visitors such as University Legal Counsel. Coordinate and participate in Advancement senior managers meetings. Make arrangements for the acting manager in the Vice President’s absence and notify Cabinet and Division managers of absences. Access university databases, such as Banner, SAP, People Admin, etc., as appropriate and requested by the VP. Work collaboratively to keep staff appropriately advised of issues that directly affect them or matters relevant to the operation of the VP’s Office. Ensure that matters of confidentiality are maintained. Take customer service calls and emails and direct them appropriately for resolution, monitors response and closure status. Coordinate and finalize processing of Council Of Trustees and PASSHE reports, performance evaluations for administrators and staff, and division annual report. Proofread to ensure accuracy. Collaborate with University Events and/or make all arrangements for special events and meetings sponsored by the
VP:
including room scheduling, catering, invitations, programs, and name tags. provide summarized list of attendees, including gift and society information for President and if applicable attending Cabinet members. Seek approval for announcements for the Division of Advancement and submit them for publication. Recruit, hire, evaluate, schedule, submit pay data and oversee assignments for 1-2 student workers. Maintain filing system for both electronic and paper records. Periodically sends materials to archives. Assist with the preparation of advancement budgets and monitor/report activity to the VP.
Specifically:
Monitor advancement budget office supplies. place orders and reconcile expenses. Prepare and submit expense reports including spreadsheets, organized receipts, and track through the approval process. Input and track travel reimbursements and general office invoices utilizing SAP’s SourcePoint. Order office equipment and maintain copier and printers. Coordinate leave and personal days with other staff to ensure office coverage is maintained. Periodic unscheduled overtime may be required depending upon office needs. Maintain notary license or be willing to become a Notary to respond to university needs. All other duties as assigned. Required Qualifications Associates degree and five years’ experience supporting an executive or manager or the equivalent combination of experience and education to successfully perform the duties of the position. Experience scheduling complex meetings and/or events. Highly effective interpersonal and phone skills. Proficiency at a university level in oral and written communications and proofreading. Excellent planning and organizational skills, with the ability to manage multiple priorities and projects. Ability to read and manage a high volume of e-mail. Demonstrated ability to learn new software. Excellent oral, written, interpersonal communication skills. Proficiency in Microsoft Office including Word, Excel, PowerPoint, Outlook. Evidence of a commitment to diversity, equity, and inclusion. Successful interview. Successful completion of three background checks. Preferred Qualifications Bachelor’s degree. Raisers Edge, Banner, People Admin or SAP experience. Essential Functions No or very limited physical effort required. No or very limited exposure to physical risks. Work is normally performed in a typical interior/office work environment. Ability to sit for long lengths of time. Basic math skills. Understanding of written and verbal directions. Extensive verbal communication skills (provide information and assistance regularly). Extensive writing skills (prepare and organize complex documents). Must be able to lift/pull/push up to 10 pounds. Dexterity of hands and fingers to operate a computer keyboard and mouse.
