Job Summary
The Program Manager will oversee the SIMWISE project timeline, ensuring that milestones and deliverables are met according to the grant objectives. This position will manage communications with stakeholders, monitor the project budget, and ensure the timely execution of training workshops and faculty development initiatives.
Major Responsibilities/Duties/Critical Tasks
Project Oversight:
Oversee the implementation of the SIMWISE project, ensuring that all activities align with grant objectives and timelines.
Coordinate planning and logistics for internal and external training sessions, including site selection, scheduling, and travel arrangements.
Stakeholder Communication:
Coordinate communications with the advisory council, stakeholders, and faculty to ensure smooth project execution as a liaison between SIMWISE leadership, and other users of the SIMWISE toolkit.
Support marketing and dissemination efforts. Schedule and facilitate project meetings, record minutes, and maintain documentation of action items and decisions for transparency and accountability.
Budget Monitoring:
Track project expenditures and assist with financial reporting to ensure the project stays within budget. Ensure documentation of allowable expenses and coordinate with finance and procurement offices on purchasing and reconciliation.
Training & Faculty Development:
Ensure the timely execution of training workshops and faculty development initiatives, ensuring they align with the project’s goals. Working closely with cloud CME to ensure smooth registration process, and communications with participants enrolled in the training program.
Report Preparation:
Prepare regular progress reports for stakeholders, tracking milestones, deliverables, and budget status. Maintain a centralized documentation system for all project records, including training attendance, evaluation results, and meeting agendas.
Problem Solving:
Address challenges as they arise and develop strategies to mitigate risks and ensure the successful completion of the project. Proactively identify opportunities to streamline processes and improve project workflows across departments.
Evaluation Support:
Assist in evaluating project outcomes and ensuring that the project’s impact is measured and documented. Ensure compliance with all university policies, grant regulations, and reporting requirements. Maintain records of all project-related correspondence, approvals, and documentation required for auditing and final project closeout.
Required Education/Experience
Bachelor’s degree in business administration, or a related field.
Three (3) years of experience in program management.
Experience with budget tracking and financial reporting.
A combination of experience and education may be considered.
Preferred Education/Experience
Master’s degree in project management, or a related field.
Supervisory experience in higher education or program management.
Experience managing federal or state grants, preferably in an academic or healthcare setting.

Proven ability to manage complex, multifaceted projects.
Experience with project management methodologies and best practices.
Strong budget management and financial reporting skills.
Excellent organizational, time management, and multitasking abilities.
Exceptional verbal and written communication skills for stakeholder engagement.
Proficiency with Microsoft Office and Project Management tools.
Strong leadership and problem-solving skills with the ability to adapt to dynamic environments.
Ability to handle multiple tasks under strict deadlines and manage competing priorities.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
