Position Summary:

Under the direction of the Senior Manager of Grants Accounting, the Grants Specialist will be responsible for identifying, securing, and managing grant funding to support the organization’s programs and initiatives. This role involves researching grant opportunities, writing compelling proposals, ensuring compliance with funding requirements, and managing reporting deadlines. The Grants Specialist collaborates closely with program, finance, and leadership teams to align funding strategies with organizational goals.

Pre-Award Activities:
Grant Writing & Proposal Development:

Prepare and submit compelling grant proposals, letters of inquiry, and funding applications. Tailor grant proposals to align with funders’ priorities and requirements. Work with program staff to develop project descriptions, objectives, budgets, and measurable outcomes. Maintain a pipeline of grant prospects and application deadlines.

Post-Award Activities:
Grant Compliance & Monitoring:

Ensure all grant activities follow the terms, conditions, and regulations of funding agencies. Regularly monitor grant expenditures to verify alignment with budget allocations, reporting any discrepancies to the Director. Maintain awareness of grant-specific requirements, policies, and best practices.

Recordkeeping & Reporting:

Collaborate with CH’s finance team for accurate reconciliation of funds and submit detailed financial reports for funders, ensuring all data is accurate, complete, and submitted on time.

Documentation & Record Maintenance:

Manage grant files, ensuring documentation is up-to-date and readily accessible for audits or reviews. Track milestones and report deadlines, proactively coordinating with relevant departments to ensure timely submissions. Monitor and document any changes or amendments to grant agreements, updating necessary records and informing the Director.

Initiative & Problem Solving:

Address challenges in grant administration by identifying issues, evaluating possible solutions, and implementing strategies in collaboration with the Director.

Communication & Coordination:

Work closely with internal departments, including finance, programs, and external partners, to support grant implementation. Assist the Director and VP of Compliance/QI to provide training and guidance to staff involved in grant projects, ensuring they understand grant terms, reporting expectations, and compliance requirements. Participate in staff meetings, Agency work groups and required training. Provide direct support to the Director to ensure all financial and programmatic functions are uninterrupted.

Work Schedule:
Non-Remote Position Full-time:

Monday through Friday, 9:00 AM to 5:00 PM Ability to work a flexible work schedule (i.e., evenings, weekends, holidays, and on-call), as needed.

Education:

Bachelor’s degree in nonprofit management, public administration or related field and a minimum of 2-5 years of experience in grants/contracts reporting and compliance in a nonprofit, or any acceptable equivalent combination of education, experience and training.

Language:

Proficiency in oral/written English; Spanish preferred; additional languages a plus (i.e., Creole).

Skills:

Proficiency in computer (Word, Excel, other data collecting programs). Strong writing, editing, and research skills. Ability to manage multiple projects and meet deadlines. Successful completion of Toxicology test, L2 and local background screening, and OIG.

Valid FL Driver License Valued and Preferred Qualifications:

Knowledge of nonprofit fundraising and financial management. Ability to synthesize complex information into clear, persuasive narratives. Culturally sensitive to the social, psychological, and healthcare needs of the vulnerable populations serviced. Strong organizational, interpersonal and communication skills in order to meet deadlines and handle multiple tasks. Demonstrates a high level of productivity while remaining calm and effective under pressure. A self-starter with demonstrated ability to work independently, as well as, with multidisciplinary teams and co-workers.
