This role ensures compliance with grant and contractual obligations, streamlines internal operations, and strengthens infrastructure to support client-centered service delivery. This position requires an experienced strategic thinker with strong organizational skills who can effectively coordinate with various stakeholders to ensure compliance with grant requirements and optimize funding opportunities. The ideal candidate will possess a solid understanding of non-profits, business development and vendor management, along with the ability to assist in creating reporting for contracts and manage records efficiently. Duties Assists in developing and management of grant proposals, ensuring alignment with organizational goals and compliance with funder requirements. Collaborate with internal teams to identify funding needs and create strategic plans for business development. Collaborate with clinical and programmatic leadership to support quality assurance and productivity tracking. Coordinate service delivery logistics, resource allocation, and systems improvement. Assists with contractor management and vendor relationships to facilitate project execution and compliance. Conduct legal drafting for grant agreements, contracts, and other related documents as needed. Assist with onboarding, scheduling, and operational needs of clinical and support staff. Monitor service documentation workflows to ensure timely billing and compliance. Under the direction of the executive director, implements change management strategies to adapt to evolving funding landscapes and organizational priorities. Ensures the maintenance of a comprehensive records management systems for tracking grant KPI’s, client files, reports, and compliance documentation. Negotiate terms of contracts with funders and partners to secure favorable conditions for the organization. Monitor grant-funded projects to ensure adherence to timelines, budgets, and reporting requirements. Ensure timely submission of reports, deliverables, and invoices. Maintain records for audits and site visits; lead grant compliance monitoring activities. Maintain internal systems for tracking key metrics such as service units, client outcomes, and grant performance indicators. Coordinate with finance, quality management, and clinical teams to ensure data integrity. Serve as a liaison between behavioral health, finance, HR, and quality assurance teams. Support preparation for audits, accreditation, licensing, and state reporting. Participate in strategic planning and infrastructure development. Qualifications Bachelor’s degree in Public Administration, Business, Social Work, Health Administration, or related field (Master’s preferred). Minimum 3-5 years of experience in behavioral health, grants administration, or nonprofit operations. Proven experience managing complex grants and regulatory compliance. Strong organizational, analytical, and communication skills. Proficiency in Microsoft Excel, EHR systems, and grant management platforms. Familiarity with Medicaid billing, behavioral health regulations, and state/federal grant structures (e.g., SAMHSA, JCPC, DHHS) a plus.
