The Coordinator of Grant Management & Accounting is a collaborative partner of the Grants Office in University Relations and Office of Institutional Risk & Compliance and is responsible for a fairly wide range of duties; most of which can be categorized as grant application preparation, reporting, budgeting, or accounting. There are some duties that overlap and then there are some that do not fall in any category. The main focus of this position is the grant application preparation, reporting, and maintenance of grant budgets at Lee University. Other responsibilities include additional funder relational obligations including the preparation of invoices and financial reports, forecasting, researching technical issues, and office management.
The Coordinator of Grant Management & Accounting will work closely with the Executive Director of University Relations and Director of Institutional Risk & Compliance and interacts with other senior administrators, deans, directors, faculty, staff, and community members to manage grants at Lee University.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Lead the design, planning, implementation, management and control of the grant budget process ensuring seamless integration with University systems and processes.
Prepare financial reports, reconcile grant budgets, and generate various projections such as indirect cost and salary/benefits. Including the forecasting and analysis of each fiscal year.
Aid in the preparation of grant applications and reports, including organizing and maintaining all necessary documentation.
Work with the Executive Director of University Relations to develop grant budgets for applications that adhere to funder regulations, policies, and processes.
Works with the Director of Institutional Risk & Compliance to maintain integrity and compliance in all accounting systems, policies, transactions, and processes for grants.
Work with grant directors to project expenses, allocate awarded funds, receive and make payments, and submit reports for the current and future years.
Collaborate with grant directors across the campus, offering guidance on budget allocation for current and subsequent grant years.
Coordinate reporting deadlines and initiate the preparation of performance and financial reports with grant directors.
Assist in preparation of Title VI compliance documentation, Single Notice of Audit Report, SEFA Audit, NSF Program Income, etc.
Manage and monitor scholarship-related grants.
QUALIFICATIONS
Must be proficient with all Microsoft Office products.
Strong understanding of general accounting principles (GAAP).
Strong understanding of funder compliance and budgeting.
Time management skills to handle multiple projects simultaneously and prioritize according to deadlines.
Ability to collect, analyze, and synthesize data into a user-friendly report.
Ability to interact and communicate effectively with internal and external constituents.
Strong verbal and written communication skills to maintain and convey large amounts of data and paperwork.
Ability to organize work effectively, conceptualize and prioritize objectives, and exercise independent judgment; interacting with faculty, administration, and funders with discretion and can manage issues of a confidential nature.
Detail-oriented; ability to keep score on numerous applications, reports, budgets, employees, and details.
Flexibility to improve and adapt to the needs and demands of the institution and each grant.
EDUCATION and/or
EXPERIENCE
Bachelor’s degree in Accounting, Communication, Actuarial Science, Business Administration, or related field required.
Master’s of Business (or similar) degree preferred.
Experience in budgeting or accounting and higher education. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
