Introduction:
At The Porch Factory, efficient inventory management is essential to keeping our projects running smoothly. The Lead Inventory Specialist oversees all materials, inventory levels, and special project items, while leading a small inventory team. This role also handles material ordering and vendor coordination to ensure the right materials arrive on time and in the right condition. The Lead Inventory Specialist reports to the Director of Operations.
Responsibilities:
This is a hands-on role that involves overseeing inventory operations including two inventory team members.
Key responsibilities include:
Leadership & Oversight:
Oversee and support a team of 2 inventory personnel, ensuring daily tasks like making bundles, prepping boxes, and organizing materials are completed efficiently and accurately. Train new inventory team members and uphold quality and safety standards in all the inventory warehouse activities. Take ownership of inventory area and ensure the space is clean, safe, and functional.
Inventory Management:
Monitor and maintain accurate inventory levels using our inventory management system. Conduct routine physical inventory counts and reconcile discrepancies. Prepare and organize materials for upcoming installation jobs and special projects.
Purchasing & Vendor Coordination:
Order all materials needed for projects, including standard stock and custom/special order items. Create and track all purchase orders (POs), return merchandise authorizations (RMAs), and delivery schedules. Follow up with vendors on order statuses and proactively handle any delays or discrepancies. Work closely with the Vice President and Finance Department to resolve issues related to billing, vendor performance, or PO discrepancies. Maintain records of all purchases and vendor communications for accountability and accuracy.
Receiving & Stocking:
Receive, inspect, and verify all incoming shipments. Label and store materials in designated areas to ensure efficiency and accessibility. Report damaged or missing items immediately and coordinate replacements or returns.
Warehouse Organization & Material Prep:
Ensure the warehouse is well-organized and stocked with the required tools and materials. Oversee material bundling and staging for install crews to support efficient job site execution. Work closely with project managers and the installation team to meet material needs and timelines.
Documentation & Reporting:
Maintain accurate and organized records of inventory transactions, POs, deliveries, and returns. Generate reports on material usage, inventory trends, and procurement status. Collaborate with the Director of Operations on forecasting and planning.
Vehicle & Equipment Management:
Keep the company vehicle stocked and organized with tools and supplies. Ensure vehicles and equipment are clean, maintained, and compliant with regulations.
Safety & Compliance:
Follow all safety protocols and enforce PPE use among the inventory team. Participate in safety inspections and promptly address any hazards or issues.

Qualifications:
High School Diploma or GED. Experience in inventory, warehouse leadership, or purchasing preferred. Experience working with inventory systems and managing POs/RMAs. Forklift or pallet jack certification is a plus. Skills /
Knowledge:
Strong leadership and organization skills. Experience with ordering, tracking shipments, and working with vendors. Attention to detail and ability to manage records. Solid communication skills for internal coordination and vendor follow-up.

Physical Requirements:
Must be able to lift 50 lbs and be on your feet for extended periods. Comfortable working in varying temperatures in a warehouse environment.
Working Hours & Conditions:
Regular business hours with flexibility based on deliveries or project needs. Occasional weekend work may be required.
