Job Description
The Senior Surgical Inventory Specialist coordinates all inventory activities for the Surgery Department. This may include Replenishment, Picking, Staging, Delivery, Put Away, Special Orders & Substitutions. The Senior Surgical Inventory Specialist will be responsible for managing PAR levels, INR & RNI, Binning, Cycle Counts, Inventory Counts, Bill Only and Inventory Relief activities. The Senior Surgical Inventory Specialist is the direct liaison between the Surgery Department and other Supply Chain Teams. The Senior Inventory Specialist is a subject matter expert and can perform complex or demanding responsibilities with little supervision. The Senior Surgical Inventory Specialist will proactively support efforts that ensure delivery of safe patient care and services and promote a safe environment at Children’s Healthcare of Atlanta.
Experience
Requires three years of experience in inventory control, materials management or purchasing (healthcare setting preferred)
Requires two years of previous experience in inventory control computer system and data entry experience
Working knowledge of healthcare Materials Management Information System (MMIS) or experience with an automated purchasing system.
Experience in a role requiring organization, prioritization of multiple tasks, and meeting deadlines
Experience using word processing, spreadsheet, database, internet and e-mail, and scheduling applications
Preferred Qualifications
Knowledge of surgical supplies and instruments.
Experience working in Operating Room, Cath lab, IR, and other procedure areas.
Surgical Technologist Certification, Sterile Processing Certification, Supply Chain Certification, or nationally recognized Healthcare Materials Certification
Education
High school diploma or equivalent

Job Responsibilities
Manages surgical inventory effectively to maintain adequate levels of supplies.
Coordinates with assigned department or clinical program to resolve any supply issues needing resolution (including recalls, alerts, substitutions, missing items, etc.). This will include working proactively with assigned buyers and/or other supply chain teams.
Coordinates with receiving personnel and buyers in to reconcile any receiving problem discrepancies including INR and RNI issues.
Responsible to work with departments and buyers in the processing of, credits, returns, reprocessing, or exchanges. This involves getting RGA/RMA numbers, collecting information, tracking of product and the updating the MDF with current information. This includes assisting buyers with proper paperwork to manage consignment and other specialized orders.
As needed or assigned, will assist and/or support inventory management functions for assigned department or clinical program to ensure optimal inventory levels in meeting patient care needs. This will include accountability for replenishment activity in assigned locations using established Standard Operating Procedures (SOP’s). If applicable, manages Consignment or Vendor Managed Inventory and associated processes according to set SOP’s.
Understands and utilizes Supply Chain (SOP’s) reports and tools correctly.
Coordinates and utilizes Workday and Tecsys systems to ensure that distribution, inventory, receiving and departmental files and reports are managed accordance with Auditing, Accounting, and other regulatory agency requirements.
Responsible to ensure that assigned clinical program is being maintained and is meeting customers’ expectations throughout the procurement process.
Ensures department is operationally ready to perform all surgical cases by assisting with daily closeouts, ensuring all supplies are ready for next day, and communicating any issues with surgical team members.
Works effectively with surgeons and/or assistant nurse managers to assess inventory needs, revise par levels as needed, and facilitate new product evaluation, including preparing submissions for value analysis and coordination of vendor visits.
Prepares continually for annual inventory by completing monthly check of expiration dates, maintaining accurate shelf labeling, reducing variances, preparing assigned service line for daily, monthly, and annual cycle counts, and leading quality inspection team.
Leads flexible scope and instrument repair program, ensuring all items are adhering to routine maintenance schedule and/or sent out for repair as needed per hospital policy and contractual obligations.
Orients all surgical inventory personnel and complies with all applicable regulations, standards, and recommendations.
Follows hospital and departmental safety instructions, policies, and procedures.
Drives compliance with Children’s Healthcare of Atlanta vendor management programs.
Provides backup for surgical implant coordinator and surgical inventory supervisor as needed.
