Job DescriptionPosition Summary:

The Tradeshow & Events Coordinator is part of the Cremar team. This role contributes to the success of the company by assisting in the coordination of International, National, Regional and Distributor shows, and end-user/customer events. The Coordinator provides tactical, physical, and logistical support to the Tradeshow, Events, and Marketing efforts of the company and its departments and divisions on a variety of projects.

This is a permanent, full-time salary position (Exempt)Our Headquarters office is located at 7630 Biscayne Blvd., Miami, FL 33138This role participates in our hybrid schedule

Hybrid Schedule:

Monday & Friday; 2 days working remotely. Tuesday, Wednesday & Thursday; 3 days working in the headquarters office.

Team member will be expected to travel locally 50% of the time to our Distribution Center, located at 3151 NW 125th Street, Miami, FL 33167. Occasional air travel will be necessary to attend trades shows throughout the year 

Physical Requirements:

While performing the duties of this role, the team member is frequently required to stand, walk, talk, and hear. The team member frequently is required to handle or feel and reach with hands and arms. The team member is frequently required to sit; regularly climb or balance; and occasionally to stoop, kneel, crouch, or crawl. The team member must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Must be able to tolerate conditions associated with no air conditioning or heat.

Major Duties Include:
Distribution Center Management:

Ensures that all projects assigned are being carried out to specification and deadlinesCoordinates with Bulk Mail projects (Holiday Gift mailing, Sales Campaigns, New Catalog distribution, Post-show mailings) as neededOversees and coordinates the packing of crates at company distribution center for each showMonitors and maintain inventory of all tradeshow and marketing fixtures and materials at the DC warehouse (signage, graphics, furniture, and props)Removes defective or damaged products from inventory due to tradeshow or event travel

Tradeshow & Events Coordination:

Assists and contributes to the planning for tradeshows and registration (e.g. pre-show mailings, end-user customer service, searches for future sites, supplier coordination, sponsor fulfillment and tracking, sponsor correspondence, clerical support and post event support and evaluations, etc.)Coordinates logistics (packing, shipping, and tracking of products) and timelines are met regarding the products sent for any business needsMaintains in-house tradeshow displays, modifying them to perfection before sending them to upcoming shows whilst maintaining a running inventory of figurinesPrepares necessary tradeshow documents and forms as neededManages set ups and tear downs for all tradeshowsOwns the logistical coordination and coloration with external vendors for all FOH ® Worldwide events; including ensuring products and supplies arrive properly, event space is properly set up with electrical and lighting or any other needsReviews exhibitor kits for each tradeshow to identify due dates and key requirementsResponsible to arrange inbound and outbound transportation. Prepares necessary tradeshow documents and forms as needed and work closely with freight companies for domestic, and international shipments to ensure timely delivery and address any requirementsCoordinates the logistic of any products/graphics/props from HQ to the DC that need to be included for the specific tradeshow or eventDetermine the timeline for each tradeshow and set calendar reminders at least 3 months in advanceCoordinates with the Visual team on product listsResponsible to book labor for hanging signs if needed.

Responsible to book electricity and other labor services as required for tradeshowsManages the booking of hotels as needed for team members attending tradeshowsCreates cash advance request forms for any traveling TM without a company credit cardResearches and presents concepts for new fixtures for the booth new booth as neededPrepares and maintains inventory lists of what’s packed in each crate, and cross-checks what comes back from each show/out of each crate

Other Duties:

Responsible for Cremar inventory of all materials in stock, shipping out, or needs replacement from events for tradeshow booths, sales and collateral, and promotional itemsIdentifies problems and proactively seeks out methods to improve efficiency of an operation, show or taskRecords personal daily punches and approves accurate bi-weekly time and attendance recordsActively participates in all one-on-one and group meetingsPromotes our FOH® Culture in all interactions

QualificationsEducation, Experience & Computer Skills:

College coursework in experimental marketing, event planning, project management, logistics, import, export, trade shows or related field preferredMinimum 3+ years’ experience in tradeshow, marketing experience or relatedMinimum 2+ years’ experience in warehouse, QC or relatedExperience with Warehouse Management System and handheld devicesProficient in Microsoft Applications, ExcelProficient with ERP systems, SAP Business OneProficient with CRM systems, HubSpotProficient with Wrike project management softwareSkills Needed for
