Logistics and Operations Assistant On-site – Winter Park, FL Monday to Friday | 9:00 AM – 5:00 PM About the

Role:

We are seeking a proactive, bilingual Logistics and Operations Assistant to join our dynamic team at our Winter Park office. This position plays a critical role in ensuring the smooth flow of our supply chain—from product ordering to inventory management and outbound shipments.

Key Responsibilities:

Create and send purchase orders (POs) to suppliers. Track and follow up on PO statuses with vendors. Maintain accurate PO records in both NetSuite and Excel. Share updated PO statuses with internal teams. Receive, verify, and unpack incoming shipments, checking quantities, serial numbers, and expiration dates. Enter received items into NetSuite and coordinate with the Logistics & Operations Specialist to initiate invoicing. Stock products and maintain warehouse organization in compliance with regulatory procedures. Monitor and record warehouse temperature, cleaning, and pest control. Report any spills, breakages, or contamination to the Logistics & Operations Specialist. Prepare, pack, and track outgoing shipments, ensuring accuracy and timely delivery. Add shipping costs to customer invoices. Maintain detailed documentation including invoices, inventory records, and shipping/tracking data. Confirm customer receipt of shipments and initiate procedures for lost items if needed. Ensure availability of shipping materials and supplies for future orders. Perform monthly physical inventory and file printed inventory reports. Monitor product expiration dates and offer items within one year of expiration to customers. Support continuous improvement of supply chain processes. Generate reports as needed. Assist with other administrative and operational tasks as assigned.

Qualifications:

Bilingual (English and Spanish) – required Associate or Bachelor’s Degree (Bachelor of Science in Industrial Engineering preferred) Proven experience in operations, logistics, inventory, and/or distribution Advanced Excel skills Experience with ERP systems (NetSuite a plus) Highly organized and detail-oriented Strong communication and teamwork skills Willingness to learn and be coached Clean background check required Experience in inventory systems and customer service
