As we continue to grow, we are seeking a highly organized and proactive Scheduler to join our dynamic team. This is a key role that ensures smooth project coordination, timely labor assignments, and exceptional customer service.

Position Summary:

The Scheduler is responsible for coordinating the scheduling of crews, communicating with customers and project managers, managing vendor relations, and maintaining internal systems for project tracking and billing. This role plays a critical part in ensuring our projects are completed efficiently and on time.

Key Responsibilities:
  • Coordinate with customers and internal project managers regarding project readiness and schedules
  • Attend project and pre-bid meetings when necessary
  • Ensure Field Supervisors are reporting job completions for billing approval
  • Approve internal and subcontractor payments
  • Create and manage spreadsheets, forms, QuickBooks POs, and memorized transactions
  • Review project documentation including blueprints, scope of work, and specifications
  • Work within scheduling platforms like Supply Pro, Jobber, and other builder-specific systems
  • Network to build relationships and secure new contracts
  • Assign and balance both internal and subcontractor labor according to skill sets and project requirements
  • Recruit, interview, and onboard new subcontracted labor while maintaining an active pipeline for future needs
  • Collaborate with Field Supervisors to ensure proper training and crew alignment
  • Reassign labor or adjust schedules when project status changes
  • Ensure scheduling complies with internal processes, including PO verification
  • Maintain daily communication with field supervisors regarding project progress and materials
  • Cross-train with co-schedulers to ensure coverage during absences
Qualifications:
  • Proven experience in construction scheduling, preferably within the painting industry
  • Excellent organizational and communication skills
  • Proficient in Microsoft Office Suite, QuickBooks, and scheduling software
  • Ability to read and interpret blueprints and scopes of work
  • Strong problem-solving skills and attention to detail
  • Comfortable with multitasking and adjusting schedules in a fast-paced environment
