JOB SUMMARY

This position uses independent judgment and initiative to perform a variety of clerical, office management and advanced secretarial duties in support of management, staff and/or operations of an organizational unit. May serve as a personal assistant to a coordinator/manager of a unit. Ability to operate word processing equipment and to complete complex word processing tasks. Skill in the proficient operation of typewriters, word processors and desktop computers. Good oral and written communications and human relations skills.

This job has no supervisory responsibilities.

ESSENTIAL JOB FUNCTIONS
  • Orders parts for use in the repair of district owned vehicles
  • Assigns parts to appropriate vehicle repair orders as needed.
  • Tracks and maintains parts inventory levels utilizing fleet maintenance software
  • Processes invoices for parts and sublet repairs
  • Tracks budget expenditures for parts and sublet repairs
  • Maintains vehicle repair records utilizing fleet maintenance software
  • Maintains completed maintenance files for all vehicle repairs
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Must possess a High School Diploma or equivalent. Must have a minimum of two (2) years successful experience in position involving public relations contact. A minimum of two (2) years’ clerical experience is desired. However, any combination of education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain knowledge and skills would be the equivalent to completion of the 12th grade and clerical experience in an office setting and/ or an AA degree from an accredited college or university with major emphasis in early childhood education.

KNOWLEDGE, SKILLS AND ABILITIES
  • Proficient understanding of computer systems, hardware, and software applications.
  • In-depth knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and its various features, such as formulas, templates, charts, and email management.
  • Familiarity with operating multiple software programs simultaneously, with an ability to switch between them seamlessly.
  • Knowledge of file management systems, including data storage, retrieval, and backup practices
  • Advanced skills in Microsoft Office applications, including creating and editing complex documents, spreadsheets, presentations, and managing emails.
  • Ability to learn and adapt to new software quickly, leveraging existing knowledge of computer systems and programs.
  • Strong organizational skills with the ability to prioritize tasks while managing multiple programs and applications.
  • Ability to troubleshoot basic software and hardware issues and provide technical assistance when needed.
  • Capable of managing and operating multiple programs or applications simultaneously without compromising work quality or efficiency.
  • Demonstrated ability to use computer programs to streamline workflows, improve productivity, and ensure the accurate completion of tasks.
  • Strong attention to detail and the ability to follow instructions and guidelines when working with different software tools.
  • Able to adapt to new technologies and remain flexible when using unfamiliar software or applications.

239 day work year; 8 hours per day

Salary:

Grade 48: Hourly (placement on salary schedule based on years or experience). Up to ten (10) years allowed. The stated salary range reflects the opportunity for pay over the course of the employee’s tenure. The top pay is not a potential starting salary Excellent benefits package (including health, dental, vision, and life insurance; employee assistance program); annual, personal and sick leave; membership in State Retirement System.
