Full Job Description Summary:

This role will work to gain a fundamental understanding of Vendor Management’s purpose and the key processes that are involved in the day-to-day work of the team. This teammate will be called upon to support the vendor management team, assisting with key projects, and providing support that ensures the timely renewal/ onboarding of vendors to include, spend approval, risk assessment, contracting and accurate payments on behalf of McGriff Insurance Services.

Roles & Responsibilities:
Accounts Payable:

Prepare requisitions and purchase orders for payment of invoices following company disbursement guidelines in various formats (check, wire and ACH payments) Research vendor payable issues Maintain accurate records for numerous statements, invoices, and account current reports within imaging system Communicate with vendors and ensure they receive proper instruction on how to interact with our technology for invoice submission Front line contact to respond to escalated vendor, division, or other key partner inquiries related to invoicing and payment processing issues. Code Invoices for GL expense and time period. Verify expense classification on Purchase Orders. Create and route documents, including but not limited to, purchase requests, purchase orders, invoices and contracts Set up new vendors in our procurement system Other accounting related duties as assigned

Operations Support:

Be an ambassador to all business leaders. They are a crucial part of decision making in areas such as planning, making resourcing decisions, measuring success, approving investments, and more. Focus on high-quality analytics and predictive planning to analyze multiple scenarios and provide actionable information. Foster service-focused relationships with the business leaders while effectively collaborating with other support functions Assist with automation of processes and on-going analytical development. Assist with and/or lead special projects assigned by the management. Support the business and/or Procurement team in data gathering, ad-hoc reporting, and general requests.

Contracts and Risk Assessments:

Conduct initial review of vendor contracts, to include reading complex agreements with meticulous attention to detail, while analyzing and identifying key information Maintain records for correspondence and documentation in relation to established contracts and those in progress. Update budget schedule with actual spend Assist Vendors and Business Units with the Risk Assessment process, acting as a process liaison and providing support to resolve issues

Skills Needed:

Proactive / Self-starter (takes initiative) Ability to research/resolve issues independently Excellent communication skills, both verbal and written Team player Must be detailed oriented and organized Must be able to effectively multi-task and handle interruptions in work flow Excellent computer skills including Microsoft Word and Excel, including macros and pivot tables. Must learn applicable custom software applications. Must possess strong time management skills, ability to prioritize and work with a sense of urgency at all times Accounts Payable experience, 1-3 years of experience preferred Knowledge of and/or appetite for contractual agreements Critical thinking skills that will aid you in your journey to analyze and digest dense material Valuable benefits.
