Southern Devall Crewing Coordinator The Position Responsibilities:
The Crewing Coordinator is responsible for performing any-and-all vessel personnel crewing and logistics-related functions of professional level. The Crewing Coordinator works to support the daily operation of the Personnel and Training department as directed by the Crewing Manager. This position is on call 24/7 for any and all emergencies, business interruptions, and employee needs after standard business hours.
Key Responsibilities:
Carries out responsibilities in the following functional areas: crewing, scheduling, and accommodation logistics including but not limited to lodging and transportation needs. Assists fellow Crewing Coordinators in the dispatch of operations and schedule logistics of maritime employees. Communicates with maritime employees on a daily basis and directs needs to the relevant department. Maintains crewing logs, additional pay information, and required time off daily along with entering the same information into the crewing software daily to ensure accurate timekeeping. Assist with tracking of LOA and medical leave etc. and ensure proper paperwork is submitted in a timely manner. Monitor credentials for maritime employees to ensure credentials are up-to-date dependent on job requirements, and assists with recertification processes for maritime employees. Utilizes timekeeping data to draft letters of service for maritime employees for required credentials. Assists the organization and logistics of new hire orientation events. Assist with the weekly preparation of crew change. Assist with the booking of hotels, rentals, and flights for crew change. Ability to show up to early AM Crew Changes and manage crews accordingly. Crewing Manager Required Skills/Abilities:
Knowledge of office management systems and procedures Excellent written and verbal communication skills. Excellent interpersonal and customer service skills. Thorough understanding of event planning practices and techniques. Possess high levels of attention to detail, discernment, and good judgement. Proficient with Microsoft Office Suite or related software.
Physical Requirements:
Prolonged periods of sitting at a desk. Must be able to lift up to 50 pounds at times.
Minimum Qualifications:
High school diploma or equivalent Some college or applicable and equivalent experience required. Marine experience preferred Demonstrate computer skills: proficient with MS office (Excel, Word, Power Point, Outlook) Good work ethics, positive attitude and team player
Skills Required:
Demonstrated ability to work collaboratively in a fast-paced environment with multiple and changing priorities Excellent leadership, interpersonal and communication (verbal and written) skills Ability to maintain successful working relationships with senior management, departmental personnel, maritime vessel personnel, customers and suppliers Strong organizational and time management skills Proficient in Microsoft Office programs and Internet applications Ability to maintain a high level of confidentiality
