Non-Exempt SUMMARY The Fleet Specialist is responsible for planning, coordinating, and managing transportation services specifically tailored to meet the needs of individuals we support. The role involves ensuring the safe and efficient transportation of individuals to various programs, services, and activities. This person serves as the primary support to ensure all maintenance records, documents, and insurance are organized and kept according to procedures and policies. The Fleet Specialist will also be responsible for overseeing the maintenance, repairs, and cleanliness of our fleet vehicles (cars/vans/buses/trucks). This position will manage and/or perform all aspects of vehicle maintenance, including preventative maintenance, repairs, inspections, licenses, and parts management. This will also include tracking inventory and mileage for each vehicle with staff and maintaining vendor relationships.

BASIC FUNCTIONS AND GENERAL RESPONSIBILITIES ORGANIZATIONAL / TRANSPORTATION SUPPORT

Work with the Director of Facilities and Maintenance and advocate for the transportation needs of individuals with IDD within the community. Establish and maintain positive relationships with our staff and individuals. Develop and enforce policies and procedures related to vehicle maintenance, repairs, cleanliness, and operations. Oversee the scheduling and coordination of all maintenance and repair activities. Ensure that all safety requirements and regulations are met. Monitor and track the progress of maintenance and repair activities including mileage. Develop and maintain relationships with mechanic shops, vendors and suppliers. Train and supervise staff on vehicle maintenance and repair techniques as well as how to properly track mileage.

QUALITY ASSURANCE

Ensure that vehicles are equipped with necessary accommodations and assistive devices. Stay current with regulations related to transportation for individuals with disabilities. Implement and oversee safety protocols and training for transportation to staff. Review any mileage and vehicle updates needed around the 5310 process.

RESPONSIBILITIES

: Provides regular and timely communication/feedback. Ensures the Director of Facilities & Maintenance is kept up to date with operational progress, issues, etc. on a regular basis. Physical Expectations This position requires extended periods of sitting. It may require lifting up to 80 lbs. and occasional stooping, kneeling, bending, and/or climbing stairs. Working Conditions Work both indoors and outdoors in all weather conditions. Are exposed to hazardous conditions and equipment that may result in minor injuries. Work in cramped workspaces that require getting into awkward positions inside and outside of vehicles, such as trucks, cars, vans, and buses. May be exposed to contaminants, such as anti-freeze, oil, and chemical degreasers. May be exposed to sounds and noise levels that could be distracting and uncomfortable.

QUALIFICATIONS

Must have a high school diploma or equivalent and at least 2 years of experience maintaining and performing repairs and maintenance on commercial fleet vehicles and various types of equipment. The ability to effectively and efficiently use computers or mobile devices to input, access, modify, or output information. This includes the ability to quickly access, store and retrieve data, track mileage/repairs/maintenance. Great organizational skills are critical for success in this position as one’s ability to autonomously maintain a database that will ensure timely documentation and communication to all stakeholders within the organization. Demonstrate professionalism and ensure confidentiality of all information. Utilize appropriate means of communication, effectively speak, read and write English. Able to think and act calmly to meet unusual occurrences of the job. Adheres to Life Unlimited Mission, Vision and Values.
