Position Summary:

The Logistics Coordinator supports the Logistics Manager and streamlines the movement of medical specimens, supplies, and equipment. Their main duties include coordinating time-sensitive logistics operations while ensuring compliance with healthcare regulations and organizational protocols. Additional responsibilities include coordinating courier schedules, managing client requests, transporting specimens, and maintaining operational readiness. This role is critical in maintaining the continuity of care, specimen safety, and operational efficiency in a clinical laboratory setting.

Duties and Responsibilities:

Coordinate the pickup, transport, and delivery of medical supplies, laboratory specimens, and equipment Communicate with couriers, vendors, clinical staff, and management to ensure timely and accurate deliveries/pickups Assist in ensuring all materials are packaged, labeled, and transported in accordance with HIPAA, OSHA, DOT, and other applicable regulations Assist in maintaining accurate inventory records and managing supply levels for critical laboratory items Respond promptly to urgent or emergency logistics needs, including after-hours or weekend requests Collaborate with Logistics Manager to forecast logistics needs and plan efficient distribution routes Investigate and resolve logistics issues, delays, or discrepancies Assist in maintaining records of all transactions, courier logs, and ensure documentation is complete for compliance and auditing Support new staff training and orientation under the guidance of the Logistics Manager Assist with fleet upkeep, including monitoring vehicle maintenance, inspections, and cleanliness Prepare supply shipments and deliveries (FedEx) for the next business day Provide route coverage when couriers are out due to illness, vacation, or emergencies. Assist in developing and improving logistics workflows and standard operating procedures Ensure compliance with company procedures and HIPAA regulations Perform additional related duties as assigned by management Minimum Qualifications High School diploma or equivalent Valid driver’s license and clean driving history 5 years of licensed driving experience Reliable vehicle with required insurance coverage Ability to pass background and MVR checks Preferred Qualifications Proficiency with Microsoft Suite 2+ years of experience in logistics, preferably in a healthcare, clinical lab, or medical supply environment Knowledge of medical terminology and handling biohazardous materials Strong organizational and problem-solving skills Excellent communication and interpersonal abilities Proven ability to prioritize time-sensitive tasks in a fast-paced environment Familiarity with regulations such as HIPAA, OSHA, DOT, and CLIA. Physical Requirements May involve time in both office and off-site environments May require occasional extended periods of driving Frequent standing, walking Ability to lift at least 50 lbs and climb stairwells Flexible schedule availability or on-call duty, as required
