We are seeking a Heavy Haul Logistics Coordinator to support our Heavy Haul Division Manager in the day-to-day operations of our specialized trucking division. This mid-level role involves coordinating the movement of oversize/overweight loads, including dispatch scheduling, load planning, permit procurement, and high-quality customer service. You will act as a liaison between customers, drivers, and internal teams to ensure every heavy haul delivery is executed safely, efficiently, and in compliance with regulations. In practice, this means responding to customer requests and transportation needs, facilitating dispatch and routing, securing required permits, and ensuring all activities meet DOT regulations and state requirements for heavy haul operations. The position is full-time and in-office, requiring strong communication, multitasking, and organizational skills to keep our heavy haul projects on schedule and our clients satisfied. Duties Dispatch & Load Planning:
Coordinate daily scheduling and dispatch of heavy haul trucks and drivers to meet customer delivery timelines. Plan and execute the mobilization of drivers and equipment, optimizing resource utilization for efficient operations. This includes route planning for oversize loads and adjusting plans as needed to accommodate changes or challenges on the road.
Permit Management:
Initiate and manage the oversize/overweight permit application process for all heavy haul loads, ensuring all necessary permits are obtained and compliant with state and federal regulations. Work closely with permit services and state agencies to secure permits in a timely manner and maintain accurate records of permits and related documentation.
Freight Sourcing & Customer Development:
Proactively source and secure freight for our local heavy-haul trucks-scouting load boards, engaging brokers and shippers, and nurturing customer relationships-to keep the fleet consistently booked and productive.
Regulatory Compliance & Safety:
Ensure all heavy haul operations adhere to DOT regulations and state-specific transportation laws. Verify that drivers understand and follow permit requirements (e.g. route restrictions, curfews, pilot car needs) and that loads meet safety standards. Coordinate with the safety team to uphold our company’s safety culture and compliance protocols at all times.
Customer Service & Communication:
Serve as a primary point of contact for customers and stakeholders regarding heavy haul shipments. Liaise with clients to confirm load details and requirements, provide status updates, and address any concerns or changes in schedule. Work to ensure customer needs are met and build positive relationships through responsive, professional communication.
Driver Coordination:
Communicate daily with drivers (company drivers and any subcontractors) to convey dispatch instructions, special load requirements, and schedule updates. Ensure effective communication of all dispatch details to drivers via phone, email, or dispatch systems so that everyone is clear on their assignments. Monitor driver check-ins and track progress of loads, proactively resolving any issues (delays, route changes, equipment issues) that arise during transit.
Operational Support:
Assist the Heavy Haul Division Manager with various administrative and logistical tasks to keep the division running smoothly. This includes maintaining up-to-date operational trackers and logs (e.g. dispatch logs, permit files, load sheets), processing paperwork for loads, and collaborating with other departments such as maintenance or compliance. You will also participate in regular operations meetings, contribute ideas for process improvements, and step in to handle urgent issues or after-hours coordination when necessary.
Requirements Experience:
2+ years of experience in trucking operations, logistics, or dispatch (preferably in heavy haul or specialized transportation). Candidates with direct heavy haul experience or knowledge of oversize load logistics will be strongly preferred.
Education:
High school diploma or GED required. Additional training or coursework in logistics, transportation, or business is a plus.
Technical Skills:
Proficiency with standard office computer applications (e.g. Microsoft Office) is required. Experience using transportation management or dispatch software is highly beneficial – familiarity with PowerPRO TMS (our dispatch/accounting software) or similar systems will help you hit the ground running.
Regulatory Knowledge:
Strong understanding of U.S. Department of Transportation (DOT) regulations and state permitting rules for oversize/overweight loads is required. Experience obtaining and reviewing haul permits (e.g. oversize/overweight permits) is highly valued.
Communication & Customer Service:
Excellent verbal and written communication skills are essential. You must be able to clearly communicate instructions and information to drivers, colleagues, and customers. Prior experience in a customer-facing role or dispatch role that required frequent customer interaction is a plus. Strong interpersonal skills and a customer-service mindset will help ensure customer satisfaction and smooth operations .
Organizational Skills:
Superior organizational and multitasking abilities. This role involves juggling multiple loads, schedules, and permits simultaneously, so keen attention to detail and the ability to prioritize tasks is crucial. You should be comfortable working under pressure and adapting to last-minute changes while still meeting deadlines and maintaining accuracy.
Problem-Solving:
Demonstrated ability to troubleshoot and solve problems proactively. Whether it’s finding a safe alternate route for an oversized load or resolving a scheduling conflict, you should be resourceful and calm under pressure, using sound judgment to keep operations on track.
Additional Preferred Qualifications:
A valid Class A CDL or prior experience as a commercial truck driver is a plus (this helps in understanding drivers’ perspectives and the practical challenges of hauling large loads). Familiarity with pilot car coordination and escort requirements for oversized loads is beneficial.
