Lawrence, PA Job Summary:

We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our Installed Base Services team. This position is responsible for meticulously coordinating and managing employee appointments and engagements, serving as a primary point of contact for scheduling inquiries and changes; and managing the flow of inventory within the group for projects and spares. This role requires exceptional communication skills, a proactive approach to problem-solving, and the ability to thrive in a fast-paced environment. The position will be based in Lawrence, PA, or Solon, OH, and includes remote interaction with group members in other offices within ECI’s territory.

Essential Duties and Responsibilities:

Coordinate and schedule employees based on our customer requests, and employee skillsets. This includes Projects, Preventative Maintenance, and Corrective Maintenance. Engage in customer-facing meetings. Manage and maintain the group calendar, ensuring accurate and up-to-date information. Communicate effectively with internal and external stakeholders to confirm appointments, relay changes, and address inquiries. Proactively identify and resolve scheduling conflicts or issues, implementing efficient solutions. Maintain accurate records of all scheduling activities and communications. Maintain awareness of team-members skillsets and assign employees accordingly, based on customer or project need. Manage flow of materials for Projects, Spares, and Consumables within the group Maintain and order commonly used consumables and employee tools. Reconcile and maintain inventory of customer-contracted spare parts utilized or replaced after emergency service. Work with customers on material returns and product advisories. Collaborate with other departments to ensure seamless coordination of resources and materials. Provide excellent customer service and support to all individuals involved in the scheduling process.

Requirements:
Ideal Candidate:

Two-year degree preferred or equivalent industry experience Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to prioritize tasks, manage multiple schedules simultaneously, and work under pressure. Excellent organizational and time management skills with a strong attention to detail. Strong problem-solving abilities and a proactive, solutions-oriented mindset. Experience with IFS Cloud Preferred.
