Full Job Description Position Summary:
We are looking for a detail-oriented and proactive candidate to manage and streamline clinic operations across our clinic network. This role is responsible for ensuring that each clinic receives the supplies and equipment they need—on time, in the right quantities, and within budget. The ideal candidate will have excellent organizational skills, a solutions-focused mindset, and a passion for keeping systems running smoothly. This position will report to the COO to ensure the tasks are prioritized to fit the company’s most urgent needs.
Key Responsibilities:
Supply Management:
Monitor supply levels at each clinic; forecast needs, place orders, and manage inventory to prevent shortages or overstocking.
Procurement Coordination:
Source vendors, obtain quotes, and manage purchase orders in coordination with operations and finance teams.
Inventory Tracking:
Maintain accurate and up-to-date records of all inventory movement, deliveries, and consumption across all locations.
Distribution Logistics:
Organize, schedule, and execute deliveries of supplies and equipment between central storage and clinic sites.
Vendor Management:
Communicate with suppliers to ensure timely deliveries, resolve discrepancies, and build strong vendor relationships.
Record Keeping:
Maintain thorough documentation of procurement activities, shipping logs, and inventory audits.
Communication:
Collaborate with clinic staff and managers to identify needs, schedule deliveries, and respond to inventory-related requests.
Process Improvement:
Evaluate current logistics processes and suggest or implement improvements to increase efficiency and reduce costs.
Emergency Supply Support:
Respond to urgent supply needs quickly and efficiently to minimize disruption to clinic operations.
Compliance Support:
Ensure supply storage and distribution processes meet all regulatory, safety, and operational standards.
Miscellaneous Tasks:
Delivering supplies, helping with other things to help clinics run efficiently, and other tasks as needed by the clinics.
Skills & Qualifications:
Strong organizational and multitasking skills Excellent attention to detail and data accuracy Proficiency in inventory management systems or spreadsheets Strong communication and interpersonal skills Ability to work independently and take initiative Ability to lift heavy objects, climb ladders, and work in various environments. Reliable transportation and valid driver’s license (as travel between sites may be required)
Preferred Experience:
2+ years of logistics, supply chain, or inventory management experience Experience in a healthcare, clinical, or multi-site operational environment
