This leadership position is designed to advance the Lookout Mountain Conservancy’s administrative operations, fiscal responsibility, office management, and organizational performance, and strategic conservation plan, including the teaching garden and greenhouse membership development, fundraising, outreach, and grant writing to support responsibilities. The Deputy Director, reporting to the President & CEO, will collaborate to plan growth, respond to changes, and implement innovative programs. The position requires in-office work managing the organization’s day-to-day operations to accomplish the goals and objectives of the Lookout Mountain Conservancy’s Strategic Plan and priorities of the Board, as well as field work to conduct the conservation plan and work with the intern program. This position will manage members’ engagement and the workflow scheduling for Rockmont Park and Sims Park.
Job Duties & Responsibilities:
Office Administration, Management Ensure LMC activities are conducted following sound policies and procedures that meet all relevant regulatory, financial reporting, and LTA requirements. In addition, ensure sound operational, fiscal measures are in place to achieve overall financial objectives. The Deputy Director will collaborate with the President & CEO to track annual budgets and coordinate with the President & CEO, Board, and Finance Committee. The Deputy Director coordinates with the Executive Committee on finance and accounting and oversees all administrative functions, Information Technology, and office management. Provides administrative support in preparation for Board and committee meetings and maintains a current and up-to-date Board portal. Collaborates with bookkeeper and office staff to maintain a well-organized and welcoming office environment. Develop the systems necessary to run LMC as an accredited land trust with growing staffing needs and responsibilities. Understand the importance of community relevance, organizational values, and responsive and strategic action. Directs operational staff and conducts performance reviews for direct reports, 1-3 employees as assigned, to ensure well-trained employees and maintain necessary Human Resource functions and documents. Oversee all non-programmatic operations and business practices in collaboration with the senior leadership team, including developing strategies and systems to support the day-to-day quality, efficiency, and responsiveness of the LMC programs and operations by using LTA Standards and Practices as a guideline. Oversee the information technology environment that supports LMC’s work. Ensure effective strategies to address emergency planning and management. Oversees mail and financial information processing, adherence and implementation of Land Trust Alliance Standards and Practices, and national accreditation. Ensures proper handling of donations and grants in coordination with the bookkeeper, President & CEO. Oversees filing information, documents, office materials, grants, and reports with the bookkeeper. Maintain grant schedule and write grants as needed. Assists with annual audits as necessary. Land Conservation/Protection Provides management oversight for the land conservation staff, and all volunteers participating in conservation projects. Provides administrative support to the Land Acquisition Committee on land acquisition, conservation easements, land donations, carbon projects and sustainability projects. Ensure compliance with the Land Trust Alliance accreditation as appropriate. Fundraising/Event Planning Oversee all LMC’s events in collaboration with board members, committees and staff. Maintains and enhances the Culture of Appreciation for the board, staff, and donors.
Qualifications/Personal Character Preferred:
Experience in non-profit management and environmental conservation. Outstanding organizational skills, with the ability to effectively implement and complete projects on time and manage multiple priorities. An initiative-taker who is intellectually curious and possesses a strong work ethic and the ability to navigate a complex environment adeptly. Exceptional capacity for managing and leading people; a team builder who has experience in scaling up organizations; ability to connect with staff both on an individual level and in large groups; capacity to enforce accountability and learn the strengths and weaknesses of the team to put people in a position to succeed. Ability to understand the finances, management, reporting, and risks associated with real estate transactions. Willing to invest the time needed to realize land trust business models and their interplay between capital and operating budgets. Requires a masters degree or commensurate job experience in environmental education, communication, conservation, office management, facilitation, staff management and development, or a related discipline. Maintains a valid Tennessee or Georgia driver’s license with proof of insurance. Have reliable transportation. Additional Qualifications Specific components of this position may have additional qualification requirements, including but not limited to: Seeking a candidate with Spanish language skills (conversational or fluent) to speak with students and families during programs. The applicant should preferably have some experience working in nature with children and teenagers (informal or formal education). Skills Proficient in Windows XP Pro, Microsoft Office. Has familiarity with WordPress for website management, QuickBooks, Little Green Light, and e-News platforms such as MailChimp, and GIS. Demonstrates a willingness to learn and must be able to prioritize tasks, work well under pressure, manage and maintain a high level of confidentiality, and have a positive attitude. Obtains organizational management skills that will support staff, board members, and volunteers in achieving their roles/goals in the organization. Work Condition Requirements and ADA Compliance Work in a small office with other people nearby. Work outside events that promote our conservation work and programs. Sit at a computer for long periods, climb stairs, and carry up to 30 pounds. Travel periodically.
Physical Ability:
Tasks require the ability to exert moderate, though not constant physical effort, typically involving some combination of walking, climbing, balancing, stooping, kneeling, crouching, and which may involve some lifting, carrying, pushing and/or pulling objects and materials of moderate weight (up to 30 pounds). This position also requires sitting at a computer for extended periods and working in an office with others nearby.
Sensory Requirements:
Some tasks require the ability to perceive and discriminate colors or shades of colors, sounds, depth and visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors:
Performance of essential functions may require exposure to elevation changes and adverse environmental conditions such as dust, pollen, humidity, temperature extremes, traffic hazards, bright/dim light, toxic agents and animal/wildlife encounters.
