$58.7K – $75.3K a year 1 day ago Qualifications Microsoft Excel Sales ERP systems Mid-level Project management Computer skills 1 year Financial acumen Communication skills Full Job Description Job Summary This position is responsible for ensuring timely and accurate project estimates, maintaining organized billing and project documentation, and supporting cross-functional teams with administrative and financial tasks. This role works closely with Estimators, Project Managers, Account Management, and Purchasing to streamline operations, support budget tracking, and improve consistency in project workflows. Strong organization, attention to detail, and collaboration skills are essential. Key Job Responsibilities Research and process estimate request from Project Managers and Account Management as requested Ensure estimates are completed accurately and in a timely manner. Manage estimating resources efficiently by prioritizing sales leads and active assignments. Review job tickets and quotes in the billing system for accuracy and alignment with approved estimates. Organize, document, and report on internal monthly billing and job codes. Develop and maintain estimate templates for commonly serviced vessel makes and models to ensure consistency and improve efficiency. Assist in implementing standard project management processes, materials, and reporting tools to support the operations team. Assist the Account Management and the Finance & Accounting departments to review and report on billing and work orders. Provide general administrative and reporting support to the Operations team while maintaining organized and accurate project-related documentation for customers and contractors. Provide weekly reports for open work orders and weekend duty reports. Required Competencies Problem Solving Basic Financial Acumen Communication Teamwork/Collaboration Education, Work Experience, Licenses, and Certificates Years of relevant work experience required: 1 year of work history as a project or administrative specialist, coordinator or accountant in corporate environment Exceptional computer skills, including expertise in Microsoft Excel Experience with an ERP level project management, sales and/or accounting system Physical Demands and Work Environment Requires climbing, bending, stooping, pushing, pulling, and twisting Requires the ability to use speech, vision and hearing Requires the use of hands for simple grasping and fine manipulations Requires the ability to lift, carry, push or pull up to 15 pounds Exposure to changes in temperature and humidity The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions.
