Director of Operations Job Summary:

The Operations Administrator will play a critical role in supporting AAO’s operational excellence by assisting with administrative functions, office management, and operational support. This position will serve as a key communication liaison through oversight of general AAO email accounts and provide logistical and administrative support across sports operations, finance, and fundraising initiatives.

Key Responsibilities:
Administrative Support:

Assist the Sports Operations Manager and Director of Operations with day-to-day administrative duties. Monitor and manage general AAO email accounts, responding directly or forwarding inquiries to appropriate staff or departments. Provide assistance with program registration management, ensuring data accuracy and a smooth user experience. Support coordination and logistics for fundraising events and initiatives.

Finance Support:

Monitor finance department email accounts and escalate important communications to the Director of Operations. Collect, organize, and input receipts into the accounting software system. Prepare invoices and follow up on outstanding payments. Assist in maintaining accurate financial records and supporting monthly reconciliation tasks as assigned.

Office Management:

Coordinate the purchase of staff birthday gifts and ensure food and beverages are stocked for staff use. Maintain office supply inventory and place orders as needed. Manage general administrative duties such as copying, organizing materials, and ensuring smooth office operations. Coordinate IT concerns and troubleshooting with the external IT support company.

Key Competencies:

Customer-service minded with strong communication skills. Proficiency in Google Workspace and Microsoft Office applications. Experience with QuickBooks Online is preferred, but not required. Prior administrative or office management experience. Ability to prioritize tasks, maintain organization, and manage time effectively in a fast-paced environment. Collaborative team player with a proactive and resourceful approach to problem-solving.
