Role:

Vortex Virtual is seeking a proactive and strategic Director of Operations to lead and oversee the day-to-day operations of our virtual staffing agency from our Miramar, FL office. This critical leadership role drives team performance, client satisfaction, and operational excellence while supporting the company’s growth and innovation. You’ll act as the operational backbone—ensuring smooth workflows, optimizing processes, collaborating closely across departments, and empowering your team to exceed their goals. Key Responsibilities:

Oversee all daily operations including scheduling, payroll, time tracking, and resource allocation for virtual staff Act as the primary liaison for clients, handling communications, resolving issues promptly, and ensuring high satisfaction levels Lead, coach, and mentor a dynamic team, conducting regular check-ins and fostering a positive, accountable culture Monitor and analyze KPIs and operational metrics, generating actionable reports for senior leadership Collaborate with marketing and sales teams to follow up on leads, support client acquisition efforts, and align operational capacity with growth goals Drive process improvements across teams to increase efficiency, scalability, and quality of service Support recruitment, onboarding, and continuous training programs to attract and retain top talent Partner with leadership on strategic planning, resource forecasting, and budgeting to meet organizational objectives Implement and manage project management tools and internal communication platforms (e.g., Slack, Google Workspace) to streamline workflows Lead cross-functional initiatives, ensuring alignment between operations, marketing, sales, and client success teams Ensure compliance with company policies, data security, and client confidentiality standards

Qualifications:

3+ years of management or operations experience, preferably with remote and hybrid teams Proven leadership skills with the ability to motivate, develop, and hold teams accountable Strong communication skills, capable of interacting effectively with clients, internal teams, and leadership Experience managing payroll, scheduling systems, and client service operations Familiarity with CRM, project management software, and communication tools (Slack, Google Workspace, etc.) Analytical mindset with experience tracking KPIs and generating performance reports Problem solver who thrives in fast-paced, evolving environments Positive, growth-oriented attitude with a passion for operational excellence and client success
