Summary:

This position is responsible for overseeing all areas of the Lockbox Processing. Provides leadership and functions as a working Supervisor by guiding and directing lockbox activities. Strives for and delivers excellence in client service to branches, and internal departments within the Bank and Bank clients. Support the commitment to cross-train staff as directed by the Central Operations Manager.

Duties and Responsibilities:

Employee is responsible for adherence to all compliance programs and the completion of all required and assigned training by established due dates. Employee is responsible for understanding their duties and responsibilities as it relates to the Bank Secrecy Act, (“BSA”), Anti-Money Laundering Act (“AML”), and Office of Foreign Assets Control Regulations (“OFAC”). This includes understanding any responsibilities outlined under the Bank’s

BSA/ OFAC

Program, participating in any required training, and promptly complying with all reporting requirements. Understands and complies with the requirements of all laws and regulations applicable to the position. Understand and perform all aspects for efficiently processing Lockbox payments. Maintains proper operational standards that will avoid unnecessary risks and undue exposure. Serves as Administrator for all Lockbox programs and hardware. Set up new customers in all programs and hardware. Performs any maintenance as needed. Ensure all hardware is running efficiently; contact the appropriate vendor or IT as needed. Inform the Central Operations Manager of equipment issues and/or needs. Oversees and serves as Supervisor of Lockbox deposit operations functions: Ensures the effective and efficient functioning of the Central Operations staff in delivering excellence in client service. Recognizes and acts on issues, problems, and concerns that arise with appropriate attention to the urgency of the situation. Guide and direct staff exercising the usual authority of a department supervisor to plan, organize, and assign the workflow. Work closely with the Central Operations Supervisor to coordinate appropriate coverage for daily lockbox processing. Review work performed by staff daily to ensure procedures are followed and processed accurately and errors are corrected properly and timely. Assists with the updating of department procedures and recommending/implementing streamlining of procedures. Assists the Central Operations Manager in the planning process and supports in maintaining budgets and controlling costs and loss activity. Renders direct supervision of staff assigned to process lockbox transactions. May assist the Central Operations Manager with the customary authority of a supervisor concerning staffing, performance appraisals, promotions, salary actions, and terminations. Plans and adheres to staffing budget and provides input during the budget process. Assist the Central Operations Manager with the accurate and timely presentation of performance appraisals, counseling, and status changes. Provides technical support as needed. Coordinate the training/cross-training of department employees as directed. Communicates Bank policies, procedures, and regulations to office personnel and ensures compliance and the correction of any deviations. Performs or directs the supervisor’s segment of new employee lockbox orientation. Effectively communicates with Lockbox customers in a timely manner. Ensures client satisfaction and account retention through quality service. Handles client requests and complaints with prompt, professional, and courteous attention. Achieves individual objectives and goals and contribute to the accomplishment of those established for the office and/or related to the Performance Compensation Plan. Ensures that office audit(s) are rated as satisfactory or better. Monitors compliance with Bank safety rules and applicable safety and health standards established by federal, state, or local laws and regulations. May assist in supporting and processing Central Operations tasks when necessary. May assist in backing up the FL Central Operations Supervisor when necessary. Informs Central Operations Manager, in a timely manner of existing and potential problem areas. Performs other duties as assigned.

Supervisory Responsibilities :

This position has limited supervisory responsibilities specifically over lockbox processing.

Experience:

High School diploma or equivalent required; higher degree preferred. Minimum of 5 to 7 years of related experience. Minimum of 3 to 5 years previous experience managing multiple staff members successfully.

Skills:

Excellent command of the English language, both written and verbal, and the ability to effectively communicate with all levels within the organization and with external organizations. General Mathematics and Accounting. Must be able to assess any given situation and bring it to a successful resolution. Must be experienced in the effective use of one or more core banking deposit and new account software. Must have satisfactory word processing and spreadsheet skills.
