Job Summary:
The Operations Supervisor is responsible for managing a team of Billing Analysts and ensuring the effective execution of operational policies and procedures across Children of America childcare centers. This role supports the Operations Department and plays a critical role in driving accurate billing practices, reporting, and interdepartmental collaboration.
Essential Duties and Responsibilities:
Supervise and support Billing Analysts in all daily tasks, including review of reports, ledgers, and eligibility statements.
Monitor workloads, ensure the timely submission of monthly claims, and verify accuracy of billing data.
Review reports submitted by Billing Analysts for accuracy before distribution to district managers and corporate leadership.
Lead training on new processes, software, and improved task strategies.
Verify timely and accurate updates to files and records using standard reports.
Assist center and district managers with understanding billing procedures and software tools.
Support analysts in making billing adjustments for rate changes, credits, and errors.
Oversee supply ordering and tracking from vendors.
Assist the Accounting Analyst with collection-related tasks.
Build strong relationships with center management to promote collaboration between field and corporate teams.
Follow up with analysts to ensure understanding of responsibilities and deadlines.
Ensure timely completion of all assigned tasks with a focus on quality and accuracy.
Work closely with other departments to maintain accurate and timely information flow.
Uphold high standards of customer service for both internal and external stakeholders.
Ensure all operational activities align with the mission, values, and ethical standards of Children of America.
Represent and promote COA’s mission, philosophy, and values to all stakeholders.
Qualifications and Skills
Bachelor’s degree in business or a related field, or equivalent relevant experience.
At least two years of experience leading a team of 3-5 direct reports (preferred but not required).
