We are looking for a proactive and detail oriented Director of Operations to oversee daily operations and ensure smooth workflow.
Responsibilities:
Office Management:
Oversee day-to-day office operations to ensure efficiency and organization. Maintain office supplies, inventory, and ensure cleanliness in the workplace. Organize and optimize office workflows for productivity. Handle scheduling and ensure team members meet deadlines.
Customer Service:
Manage incoming calls, emails, and appointment scheduling with professionalism. Respond to live chat, text messages (via WhatsApp/Telegram), and eBay messages in a timely manner. Ensure all customer inquiries are handled promptly and accurately.
Order & Inventory Management:
Process, pack, and ship orders efficiently. Monitor shipment statuses and provide timely updates to customers. Update order statuses on our E-commerce website and follow up on customer purchases. Track and manage inventory levels to prevent shortages or overstocking.
Social Media & Marketing Support:
Assist in managing company social media accounts following specific guidelines. Ensure brand consistency and engagement with online audiences.
Claims & Dispute Management:
Handle lost or damaged package claims with customers and carriers. Purchase insurance for items over $499 and manage claims accordingly.
Submission & Record-Keeping:
Maintain accurate records of customer interactions, orders, and office operations. Track submissions, replacements, and return status. Ensure all documentation is organized and accessible.
Communication & Follow-Up:
Return missed calls, text messages, and emails promptly. Follow up with customers on orders and service satisfaction. Encourage customers to review information on the website to streamline processes.
Requirements:
Strong organizational and multitasking skills. Excellent verbal and written communication skills. Proficiency in office software Customer service experience is a plus. E-commerce experience is a plus but not required. Ability to work independently and lead a small team. Automotive knowledge or previous automotive work history is a big plus but not required.
