The role is responsible for successfully managing the day-to-day operations for the clinic. The two overall goals are to create the most engaging therapy experience for our clients and their parents/guardians, and to create a therapy provider brand of choice, where parents/ guardians and employees are lined up to join our organization.

Oversee administrative department a. The Director of Operations will oversee the daily operations of workflow, processes, and procedures of the client life cycle (intake, authorization, and billing), delivering weekly schedules, identify process improvements, and implements solutions proactively b. The Director of Operations will oversee the employee lifecycle (recruitment, scheduling/case assignment, employee engagement, terminations, etc.) c. Oversees credentialing for clinicians d. Meets with various staff to review key metric reports to ensure accountabilities e. Assists admin staff in coordinating new client intakes 2. Oversee field and clinic operations a. Liaise with the Clinical Manager to review utilization with clinical staff and ensure accountabilities b. Maintain client satisfaction & resolve client complaints through proactive and positive approach c. Maintain proper utilization levels and scheduling from the business perspective, monitoring cancellations and no-shows d. Oversees session note audits to ensure compliance e. Assists with site audits f. Engages in marketing and recruitment activities to take the company to the next level g. Assists Clinical Manager with conflict resolution 3. Oversee facility and logistical operations company-wide a. Ongoing oversight of clinic supply inventory, ensuring the staff members have everything they need to provide excellent patient care, while remaining within budgetary limitations and minimize waste b. Keeping facilities clean and organized both on the inside and outside c. Ensuring grounds are kept and contacting the appropriate service providers

Other Key Duties:
  • Acts as a role model by displaying exemplary, compassionate and professional behavior, motivating staff members to provide excellent, patient-focused service
  • Oversees training schedules
  • Attends and actively participates in staff and leadership meetings and trainings
  • Troubleshoots basic technology issues
  • Will communicate and meet with President/CEO as needed
Director of Operations Direct Reports/Functions :

The Director of Operations will have direct oversight of the administrative staff to include the following functions:

  • Intake
  • Authorizations
  • Billing
  • Recruitment
Scheduling/Case Assignment Essential Skills:
  • Bachelor’s degree in Business Management or related
  • Minimum of 2 years of prior management experience
  • Bi-lingual English/Spanish is desirable
  • Must be flexible and adaptable with day-to-day tasks and responsibilities
  • Excellent customer service and phone skills
  • Welcoming/cheerful demeanor
  • Time management skills, ability to pick up where tasks were left due to an interruption (i.e. a phone call)
  • Self-starter
  • Ability to work independently in a fast-paced environment with little or no supervision and keep accountable
  • Great work ethic and management skills
  • Proficient in MS 365 (all aspects)
  • Good command of technology
  • Extremely proactive
