JOB OVERVIEW
Responsible for all the Common Areas, including but not limited to: Villa Resident Services, Food and Beverage Services, Resident Event Services, Recreational Activities, Pool and Beach Services, Housekeeping of all the Common Areas, and when needed Valet Parking Services and Concierge Services.

RESPONSIBILITIES
Worked closely with Management Company, Board of Directors, Developers, Construction, and Legal Teams on all building and service requirements and ensure that all condo assn. document requirements are in place. Assist will all building purchase requirements and facility management concerns and opportunities. Implement Acqualina 5-star culture and brand standards in both facilities and service delivery. Hire exceptional team members who are well trained, team orientated and capable of exceeding residents’ expectations. Develop a relationship with unit owners ensuring satisfaction and positive outlook. Administrative 1) Develop, monitor and administer all functions of Community Association Management in accordance with Florida Statutes, Chapter 718, and the Association’s Condominium Documents. 2) Maintain records of contracts, services, Unit Owner files and Association meetings. 3) Monitor legal and insurance conditions for the Association. 4) Prepare SOPs and maintain staffing requirements within budget. 5) Implement and enforce Rules & Regulations of the Association. 6) Accept bids for contracts ensure the best interest of the Association. 7) Perform any other permitted assignment as directed by the Board of Directors and Management Company Executives. 8) Ensure all Unit Owner/Resident notifications are sent out in a timely manner. Financial 1) Oversee and monitor all bookkeeping operations and inventories. 2) Develop and prepare the Annual Budget for the Master Association. 3) Comply with the guidelines of the Annual Budget. 4) Verify, monitor and approve Accounts Payable. 5) Ensure knowledge of Shared reserves Budget and assist with implementation of replacements/preventative maintenance schedule. 6) Take appropriate action to ensure the timely collection of all past due accounts. 7) Prepare Monthly Report and Financials. When necessary, assist with the reforecast of annual expense. 8) Ensure all contracts are up to date and follow proper Acqualina Vendor requirements. 9) Ensure all COIs are up to date for any vendors used in contracts and for other items. 10) Prepare Monthly P&L Recap to GM/CFO for approval prior to sending to Board Members. Operations 1)Serve as Weekend (Saturday and Sunday) Manager on Duty Conduct morning inspections and check in with front desk, maintenance, villa, housekeeping, F&B staff, pool & beach, and security teams. Review overnight incidents and handover reports. Ensure Resident Services such as Daily Breakfast, Juice Bar, Fitness Center, Spa, Pool Grill, etc. are at the 5-star experience level. Inspect common areas daily. 4)Address resident concerns promptly. 5)Monitor priority work orders, coordinate last-minute vendor needs, and follow up on emergency maintenance requests. 6)Conduct staff payroll. 7)Conduct walkthroughs throughout the property, with more frequency during breakfast, AcquaFit, Juice Bar and at the Pool & Beach/Grill. 8)Review Department Schedules with leaders 9)Engage with One Stop Staff and ensure compliance 10)Engage with Pines Ice Arena Staff and ensure compliance Ensure complete knowledge of building infrastructure, equipment, maintain requirements, warranties etc. 12)Plan and coordinate resident events, including handling requests, approvals, payments, vendor logistics, COIs, and Hold Harmless forms. 13)Review event Resident Event Orders (REO) for communication to all departments 14)Assess workflow efficiency, identify areas for improvement, and follow up on outstanding maintenance issues. 15)Review invoices for accuracy, verify proper allocation, and follow up on payments. Ensure compliance on all vendor agreements for Master Association. Provide orientation to new Residents in the absence of Tower Directors. Meet all residents and maintain exceptional relationships with them. Ensure Safety procedures are in place. Guide and assist the Board of Directors in complying with various requirements of Association Management as set forth by Florida Statutes, Chapter 718. Attend all meetings of the Board of Directors. Prepare Critical Path on strategic assignments and present to GM. Assist with New Hire Orientation as needed. Prepare Monthly Managers Report with other Directors for one comprehensive report. Ensure Daily Handover is communicated to key executives. Hold Daily Pre-Shift Meetings, oversee workflow efficiency, addressing residents concerns and maintain issues promptly. Be well versed on the building technology platforms to include music program, BuildingLink system, Crestron, Lighting,etc. Prepared HR documentation such as organizational chart, comp set pay rate comparison, job descriptions, uniforms, reviews and schedule/attend regular meetings with Acqualina HR Department. Implement Employee recognition programs and ensure Employee Satisfaction Rate is high. Implement WOW stories and ensure all resident preferences are in building management system. Attend all Forbes Training sessions. Enforce the Rules and Regulations. Ensure the property is maintained in the highest standards without compromising the budget. Participate in sustainability efforts. Accepts additional responsibilities as needed.
REQUIREMENTS 1
) Must possess excellent interpersonal skills. 2) Must have excellent command of the English language plus equally good writing skills. 3) Must have Residential Property Management or Luxury Hotel background. 4) Must have previous supervisory experience with a minimum staff of twenty-five (25). 5) Leadership qualities a must. 6) Community Association Manager’s License issued by the State of Florida Department of Business Regulation (will be required if candidates does not have one already)
