This is a high-responsibility role for someone who thrives in a fast-paced entrepreneurial environment. You’ll work directly with the CEO, managing operations, communications, scheduling, events, and systems across all three companies.
Key Responsibilities:
Manage day-to-day operations across real estate, title, and coaching businesses Maintain and organize the CEO’s complex calendar, travel, and appointments Negotiate with venues, vendors, and sponsors for events and conferences Collaborate on marketing projects, campaigns, and brand development Act as liaison for stakeholders, team members, and business partners Oversee scheduling of team meetings, client follow-ups, and task completion Utilize AI tools (like ChatGPT) and automation to streamline workflows Plan and coordinate events, speaking engagements, and virtual training sessions Track and report key performance metrics across departments Protect confidential information and represent the CEO with professionalism
Required Qualifications:
3+ years of experience as an assistant or operations assistant Experience working with or supporting entrepreneurs or executives Strong project management and organizational skills Working knowledge of marketing tools, platforms, and strategy Familiarity with AI tools like ChatGPT, Notion, or automation software Tech-savvy and quick to learn new platforms (CRM, project management, etc.) Excellent written and verbal communication skills Experience in event planning and sponsor/vendor coordination Ability to prioritize, multitask, and work independently in a high-pressure environment Positive attitude, strong work ethic, and loyalty are non-negotiable
Preferred Qualifications:
Experience in real estate, title, or coaching industries Real Estate sales will not be allowed. If licensed, business must be referred. Comfortable working with remote teams and clients Bilingual (English/Spanish) is a plus, but not required
